Our client, a vibrant community hub in San Francisco, is seeking an Executive Assistant who will play a vital role in supporting the Executive Director and senior leadership at the Community Center. This individual will serve as a trusted partner, ensuring smooth day-to-day operations by managing complex schedules, coordinating meetings and events, handling correspondence, and anticipating the needs of leadership. This is a dynamic role that requires exceptional organizational skills, clear communication, and the ability to thrive in a fast-paced, mission-driven environment.
**Please note this is an on-site, 3-month contract based in San Francisco, CA. Pay will be $40-$42/hr.**
Key Responsibilities:
- Provide high-level support to the Executive Director, including calendar, travel, and schedule management.
- Serve as the first point of contact for internal and external stakeholders, ensuring timely communication and a welcoming tone.
- Draft, review, and edit correspondence, reports, and presentations on behalf of leadership.
- Coordinate logistics for board meetings, staff meetings, and community events, including agendas, materials, space setup, and hospitality.
- Manage confidential records, files, and documents with discretion.
- Track and reconcile expenses, process invoices, and support budget oversight.
- Assist with community engagement efforts, including donor communication, newsletters, and outreach support.
- Partner with program staff to ensure alignment of executive priorities with community initiatives.
- Anticipate leadership needs, proactively identifying solutions and opportunities for efficiency.
Qualifications
- Bachelor’s degree or equivalent professional experience.
- Proven experience providing executive-level administrative support.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail, with the ability to prioritize competing demands.
- Proficiency with Microsoft Office Suite, Google Workspace, and CRM/database tools (Salesforce experience a plus).
- High level of discretion in handling sensitive and confidential information.
- Ability to remain calm and solutions-oriented in a fast-paced environment.
