Business Operations & Executive Assistant
Location: Newark, CA - hybrid work
About the Role:
Ready to be the heartbeat of a growing company? We're looking for a dynamic multitasker to power executive support and perform a range of general and specialized office duties.
What You’ll Do:
Executive Support:
- Provide high-level administrative support to the executive team, including calendar management, meeting coordination, and travel arrangements.
- Prepare presentations, reports, meeting agendas, and internal communication materials.
- Handle confidential information with discretion and professionalism.
- Assist with project tracking, task follow-ups, and executive priorities.
- Coordinate and attend executive-level meetings; take notes and ensure timely follow-up.
Office Administration:
- Oversee day-to-day office operations to ensure a productive and efficient work environment.
- Manage office supplies, vendors, and equipment maintenance.
- Coordinate onboarding and offboarding in collaboration with HR & IT teams.
- Oversee vendor relations, serving as the main point of contact for service and supply partners.
- Maintain organized digital and physical filing systems.
- Process reimbursements, expense reports, and assist with budget tracking.
- Maintain and update employee records and HR documentation in collaboration with the HR team.
Cross-functional Administrative Support:
- Provide administrative support and coordination to colleagues as needed, including tasks related to scheduling, documentation, logistics, event planning, and special projects that support executive functions and cross-departmental initiatives.
- Act as a liaison between the U.S. team, HR, and other internal departments, facilitating basic employee inquiries and supporting administrative coordination.
- Partner with Finance and HR teams to assist with expense reports, invoice processing, and internal operational procedures.
- Support the maintenance and communication of internal policies, ensuring clarity and consistency regarding company procedures.
- May assist with marketing or sales initiatives as capacity allows.
What We’re Looking For:
- 1+ years of experience supporting founders, executives, and/or operations.
- Strong understanding of State and Federal labor laws.
- Creative mind with an ability to suggest improvements.
- Friendly, proactive, and comfortable working in a fast-paced environment supporting multiple executives and other departments.
- Exceptional communication skills.
- Sharp attention to detail with a knack for staying organized and the ability to effectively prioritize tasks based on importance.
- Proficiency in MS Office and Google Suite.
- Availability to work in CST & EST time zones.
What we offer:
- Full-time position with a base salary: $60,000 - $75,000 per year.
