POSITION OVERVIEW
Equal Justice Works is seeking a highly organized and proactive Executive Assistant to support the Executive VP/COO. The ideal candidate will manage the executive's calendar, communications, and travel arrangements, ensuring smooth operations and effective prioritization of tasks. This role requires excellent administrative, communication, and problem-solving skills, along with a commitment to maintaining confidentiality and professionalism.
RESPONSIBILITIES
Executive Office Leadership
Provide administrative support to the Executive VP/COO, including initiation and management of calendar, communications, meetings support, and travel.
Guide and prioritize the Executive VP/COO’s agenda, making sure the Executive VP/COO is briefed on business operations matters, programmatic efforts, and fund development activities, ensuring the executive has time to meet with key stakeholders and staff.
With the EJW team, contribute ideas for the development, implementation, and documentation of systems.
Executive Office Management
Research, prioritize, and follow up on inquiries addressed to the Executive VP/COO, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
Manage the Executive VP/COO’s calendar, prioritize urgent matters, schedule meetings, and research and prepare materials/information to support the executive in successful execution of the COO role.
Draft communications on the Executive VP/COO’s behalf including emails, memos, reports, and presentations.
Perform administrative duties including coordinating travel arrangements, organizing events/meetings, and supporting internal team activities and meetings.
Provide some bookkeeping duties such as expense reporting, credit card reconciliations, and check requests.
Collaborate with fundraising staff to draft communications.
Reporting/Deadlines
Implement all actions in alignment with and sustaining EJW’s brand, reputation, and standards of excellence.
Maintain confidentiality while handling confidential documents and conversations.
Qualifications
5+ years of professional experience supporting an executive and/or a Board of Directors.
Excellent attention to detail and outstanding oral and written communication skills.
Excellent organizational and planning skills.
Ability to multi-task, set priorities, and take initiative after being given general guidelines.
Ability to maintain confidentiality in relation to all forms of communication, interpersonal relations, and problem solving.
Proficient in Microsoft Office applications such as Excel, Outlook, Word, PowerPoint, and Dynamics CRM database.
Excellent calendar management and anticipation skills.
Keen sense of judgment and discretion as well as an ability to be tactful and diplomatic.
Growth mindset with a strong sense of accountability for achieving results.
Demonstrated ability to inspire and foster strong relationships with various stakeholders.
Bachelor's degree preferred.
