About the Position:The Executive Assistant role at Ann Lowengart Interiors is a strategic, trusted liaison and partner to the Principal, providing comprehensive administrative support to ensure seamless management of daily tasks and alignment with business priorities. This position involves managing complex schedules, coordinating travel and events, and serving as a key communication liaison. The incumbent is proactive, highly organized, and capable of handling sensitive information with discretion, working closely with a dynamic leader in a fast-paced and creative environment. Essential Responsibilities:      Serve as the Principal's primary support, managing day-to-day activities with a strategic and proactive approach.      Serve as a key liaison between executive leadership and employees at all levels, fostering clear communication and supporting a positive, respectful, and collaborative workplace environment.      Manage a complex calendar, including scheduling appointments and coordinating meetings across time zones.      Organize detailed travel arrangements, including flights, hotels, transportation, and itineraries.      Compile documents for meetings and ensure the Principal is well-prepared for all engagements.      Handle confidential and sensitive information with discretion, including managing high-level meetings and documents.      Prepare and review expense reports, ensuring accuracy and timely submission.      Act as a liaison between the Principal and clients, maintaining strong relationships and ensuring clear and professional communication.      Draft, proofread, and edit business correspondence, presentations, and meeting notes.      Provide project management assistance, tracking deadlines, and ensuring follow-through on key projects.      Create and maintain systems for tracking information, updates, and reminders for the Principal's upcoming commitments.      Represent the Principal professionally in interactions with clients, consultants, and vendors.      Monitor and prioritize email correspondence, including responding on behalf of the Principal when appropriate.      Collaborate with team members to ensure continuity during absences and provide backup support for administrative tasks.      Maintain flexibility to handle occasional business-related tasks during off-hours, including mornings, evenings, and weekends.Experience and Skills Requirements:      7+ years of experience as an Executive Assistant, preferably in a professional services or design environment.      Experience in client-focused roles with high-level administrative responsibilities.      Bachelor's degree preferred.      Impeccable grammar and strong writing skills.      Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with Adobe Acrobat.      Strong organizational skills with exceptional attention to detail.      Excellent verbal and written communication skills, able to convey complex information succinctly.      Proven ability to manage complex calendars and coordinate travel logistics.      High EQ, professionalism, and the ability to build positive relationships with clients and team members.      Ability to maintain confidentiality and exercise discretion.      Must have access to a vehicle.      Must be within 30 minutes drive of San AnselmoWork Schedule: The work schedule is generally Monday through Friday from 9:00am 5:00pm. On occasion, this may shift to meet the needs of the Principal.
