They are seeking an Executive Assistant to join their Chicago office and looking for a self-motivatedindividual who uses discretion and positive attitude to ensure their entrepreneurial CEO runs efficiently. The successful candidate is passionate about working for a growing firm, handles stress with grace, is hyper organized, an independent worker and enjoys being the main point of contact. Responsibilities :
Email Management : Managing theCEO’semail inbox and prioritizing emails to respond to, drafting emails on behalf of the executive, and taking over correspondence when appropriate)
Meeting Management: Preparing the CEO for meetings and calls (setting up video links, calendar invites,background research on guests and pulling together any briefing documents needed)
Gatekeeper: Managing CEO’s schedule and interacting with internal and external stakeholders
Travel Management: Booking travel and hotel accommodations frequently (domestic and international)
Event planning duties : Chicago, NYC and PR small outings/events/meals
Miscellaneous Personal: Sending gifts on behalf of the executive, filling out paperwork, etc
Light office duties : order office supplies,manage vendors (cleaners, building contacts),etc
Light HR duties: Work with controller tosend out annual benefits summaries and assist with new hires
Qualifications:
3+ years of experience in a fast-paced executive supporting role
Amazing EQ abilities and the ability to work with all employees, liaise with investors, etc
Excellent and professional written English skills
Comfortable using and learning new software
Ability to work independentlyand resourceful
Excellent organizational skills and multitasking ability
Bachelors/University degree a plus
A successful candidate will:
