Position Overview
The Executive Assistant will provide high-level administrative and operational support to the Executive Director/Founder, Regional Development Directors (RDD’s). This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities while ensuring smooth day-to-day operations. The Executive Assistant will act as a central point of coordination for communications, administrative functions, and RDD’s support team.
Key Responsibilities
Executive & Founder Support
- Manage the Founder Carole Ward’s calendar, travel arrangements, and scheduling.
- Screen and prioritize correspondence, calls, and requests on behalf of the Founder.
- Prepare meeting materials, reports, presentations, and follow-ups for executive-level meetings.
- Maintain confidentiality while handling sensitive information.
Support for Regional Development Directors (RDDs)
- Provide administrative support for fundraising, donor relations, and partnership engagement efforts.
- Assist with the preparation of grant applications, proposals, and reports.
- Coordinate communications, scheduling, and event logistics across regional teams.
- Track and follow up on action items to ensure accountability across development initiatives.
Administrative & Operational Duties
- Maintain organizational records, filing systems, and databases.
- General operations with documentation and reporting.
- Assist with board communications, including scheduling and preparation of materials.
- Facilitate internal communication between departments to streamline workflows.
- Support planning and execution of organizational events and key initiatives.
Qualifications
- Bachelor’s degree preferred, or equivalent work experience.
- 3+ years of experience in executive support, administration, or nonprofit leadership support.
- Strong organizational, project management, and time management skills.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft Office Suite, Google Workspace, and CRM/databases.
- Demonstrated ability to work independently, handle multiple priorities, and exercise sound judgment.
