Overview
Executive Assistant at UL Research Institutes, based in Evanston, Illinois. The Executive Assistant provides administrative support and assistance to two C-suite executives. This role works under minimal supervision to perform advanced, diversified, and confidential administrative duties requiring broad experience and knowledge of organizational policies and practices.
The Executive Assistant will collaborate with internal and external stakeholders to organize schedules, plan meetings, and build travel itineraries. This individual will assist in preparation and management of budgets, records, statistics, and other documents in support of operations, personnel changes, etc. Other duties include preparation of varied and complex letters, memoranda, and correspondence. A high level of tact and integrity is required due to frequent senior-level internal and external communications and regular exposure to confidential data.

What you'll learn and achieve
- As the Executive Assistant, you will play a key role in the rapid growth of UL by establishing front-line representation of the mission and professionalism. This position operates under absolute discretion and confidentiality.
- Assist with high-level confidential projects, including creating supporting documentation and presentations.
- Assist in the preparation and control of office records, statistics, and reports regarding operations, personnel, and other functional needs.
- Schedule, coordinate, and maintain calendars and travel itineraries. Make, monitor, and adjust meeting and travel arrangements.
- Serve as administrative liaison regarding administrative issues related to the organization.
- Relieve the organizational unit of administrative work, including typing documents, filing, and screening phone calls as appropriate.
- Assist in the budgetary process for the executive as needed, including expense process and documentation management.
- Understand and follow the Underwriters Laboratories Code of Conduct and all physical and digital security practices.
- Perform other duties as directed.

Professional education and experience requirements
- Higher Secondary Education with generally five or more years of related administrative assistant experience.
- Experience in judicious decision making and operating with absolute discretion and confidentiality.
- Auditable document and IP management and control skills.
- Project management experience.

Salary Range: $67,319.32-$92,564.06
