Responsibilities
- Calendar and Schedule Management: Coordinate and manage complex schedules, including meetings, personal appointments, and travel arrangements for senior executives.
- Meeting Coordination: Organize and prepare for team meetings, including scheduling, agenda preparation, and technical support.
- Travel and Logistics: Arrange domestic and international travel, including flights, private transportation, accommodations, and itineraries.
- Project Support: Assist with special projects across the organization such as conferences, event planning, report generation, sales funnel flow.
- Data and Records Management: Maintain organized filing systems (physical and digital) as well as preparing documents when necessary.
- Facilities Management: Coordinate with vendors to ensure efficient office operations, including managing relationships with building management, cleaning services, and other contractors. Oversee supply purchasing and inventory management to ensure the office is fully stocked and equipped.
- Executive Personal Assistance: Provide support with personal tasks and errands for the executives, helping to balance professional and personal priorities seamlessly.
Qualifications
- Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred; equivalent experience may be considered.
- Experience: 3-5 years of experience as an executive assistant or in a similar administrative role, preferably in the oil and gas, energy, or related industries.
- Skills: Exceptional organizational and time-management skills.
- Proficiency: Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint) and project management tools (Smartsheet or similar).
- Communication: Strong written and verbal communication skills.
- Priority Management: Ability to multitask and prioritize in a dynamic, fast-paced environment.
- Industry Knowledge: Knowledge of oil and gas industry terminology, regulations, or operations is a plus.
- Attributes: Professional demeanor, high level of discretion, proactive problem-solving, and adaptability to changing priorities.
- Technical Aptitude: Familiarity with virtual meeting platforms (e.g., Zoom, Microsoft Teams) and document management systems.
