Responsibilities
Reporting to the CEO, the Executive Assistant acts as a liaison for the CEO and the Executive Leadership Team. The ideal candidate will exercise good judgment, possess strong communication, administrative, and organizational skills, and manage multiple priorities effectively. This role requires independence, discretion, and the ability to handle confidential matters professionally. The position demands anticipating needs, critical thinking, and offering solutions with a high level of professionalism.
Key responsibilities include:
- Providing sophisticated calendar management for the CEO, prioritizing requests, troubleshooting conflicts, and ensuring smooth daily operations.
- Handling a variety of administrative tasks to support the CEO’s leadership, including assisting with special projects.
- Keeping the CEO informed of upcoming commitments and responsibilities, and following up as needed.
- Acting as the primary point of contact for internal and external stakeholders concerning the CEO, including sensitive matters.
- Anticipating organizational needs and preparing the CEO for meetings and events.
- Serving as a gatekeeper, facilitating effective communication between the CEO and the Executive Leadership Team.
- Reviewing correspondence, preparing responses, and flagging important communications for the CEO’s attention.
- Gathering and preparing information for meetings with leaders, colleagues, and external parties.
- Managing Board of Directors and Committee meetings and materials.
- Coordinating Executive Leadership Team meetings and supporting other meetings and events.
- Making travel arrangements and assisting with expense reports.
- Providing event management support as needed.
- Collaborating with other administrative staff to ensure comprehensive executive coverage.
Qualifications
- At least ten years of experience supporting senior executives, ideally as an Executive Assistant to a C-suite leader.
- Proficiency in Microsoft Office (PowerPoint, Word, Excel) and Outlook.
- Experience handling sensitive information with confidentiality.
- Strong proactive problem-solving skills and excellent written communication.
- Ability to work efficiently in a fast-paced, time-sensitive environment.
- Willingness to work beyond regular hours and remain accessible after hours/weekends as necessary.
- Exceptional organizational skills and attention to detail.
- High professionalism when interacting with diverse groups, including Board members and senior staff.
- Sound judgment in prioritizing tasks and managing time.
- Ability to manage multiple projects independently and react swiftly to urgent situations.
- Integrity and discretion in handling confidential information.
