Position: Executive Administrative Assistant

Location: New York, NY (on-site 5 days/week)

Reports to: Managing Director, Business Development

Position Summary:

We are seeking a highly motivated and polished Executive Assistant to provide high-level support to the Business Development team with additional support to the Managing Director of Business Development. This role requires exceptional organizational skills, discretion, and a proactive mindset to manage complex schedules and communications in a dynamic, fast-paced environment. The ideal candidate will be forward-thinking, adaptable to shifting priorities, and capable of representing the firm with the utmost professionalism.

Duties and Responsibilities:

  • Assist all North American Business Development staff where possible, including but not limited to: expenses, booking travel, booking conferences, meeting logistics and bookings, coordinating presentation material, and event planning
  • Provide additional support to Managing Director, Business Development (Head of Americas)
  • Manage complex, high-volume calendars with precision, including scheduling across multiple time zones and coordinating internal and external meetings
  • Assist with potential and established client meetings in New York, involving other offices as required
  • Where applicable, take minutes for Business Development meetings and circulate post meeting
  • Coordinate all internal meetings for the larger Business Development team regarding ongoing fundraising efforts, including meetings on the ground in NY
  • Manage sensitive and confidential information with discretion and professionalism
  • Communicate clearly and professionally on behalf of the executive, both verbally and in writing
  • Provide support on ad hoc projects and initiatives as needed
  • Business Development new hires – ensure all are fully onboarded, including but not limited to introductions, IT Set up, training, ongoing support
  • Coordinate with international team members and Executive Assistant’s in global offices

Requirements:

  • Minimum of 5 years of executive-level administrative support, ideally within financial services or a similar fast-paced industry
  • Exceptional organizational and time management skills; able to manage competing priorities effectively
  • Strong attention to detail with the ability to see the bigger picture
  • Poised, professional, and able to maintain composure under pressure
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office Suite and common calendar/email systems (e.g., Outlook, Google Workspace)
  • Demonstrated ability to exercise sound judgment, discretion, and confidentiality

  • The anticipated base salary for this role is $90,000 - $110,000 + bonus eligibility. The compensation range for this role is specific to New York City and actual base salary will be determined by several components including but not limited to an individual’s experience, skill set and qualifications.
