Union Position: Yes. This job is covered under the terms of a collective bargaining agreement with the Washington-Baltimore News Guild, Local 32035.
Starting Salary: $52,000-$60,000
Job Summary
End Citizens United is seeking an Executive Assistant to work closely with the President and executive leadership team to provide high-level administrative and operational support. This role will ensure the smooth functioning of the executive office by managing scheduling, correspondence, and cross-departmental coordination. This role is an entry-level position; successful candidates will be self-starting, organized individuals with a passion for democracy reform.
Responsibilities
- Manage the President’s calendar, including scheduling, prioritizing requests, coordinating logistics, and ensuring preparedness for meetings, calls, and travel.
- Provide executive-level administrative support to the President and senior leadership team, including correspondence, meeting preparation, and follow-up.
- Draft, edit, and prepare materials such as briefings, reports, presentations, and donor communications for executive use.
- Coordinate internal and external meetings, fundraising events, and trips, ensuring all details are handled with discretion and accuracy.
- Serve as a point of contact for donors, vendors, and external stakeholders, ensuring professional and timely communication on behalf of the executive team.
- Monitor and manage shared inboxes and general inquiries, routing and responding as appropriate.
- Maintain and organize departmental records, trackers, and databases in coordination with the Development and Compliance teams.
- Support the review and approval process for external fundraising communications (direct mail, email, text).
- Conduct donor and prospect research and prepare solicitation and stewardship materials as requested.
- Assist with cross-departmental coordination, helping move projects forward and keeping leadership informed of progress and deadlines.
- Manage departmental administrative functions including correspondence, mail processing, filing, and vendor communications.
- Handle special projects and other duties as assigned to ensure the efficiency and effectiveness of the executive office and Development Department.
Qualifications
- Proven organizational and time management skills, with the ability to balance multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills, with attention to detail and accuracy.
- Excellent interpersonal skills and the ability to build strong working relationships with staff, leadership, and external partners.
- Discretion and sound judgment in handling sensitive or confidential information.
- Proficiency with Google Workspace (Docs, Sheets, Slides, Calendar) and Microsoft Office Suite.
- A proactive, self-starting approach with the ability to anticipate needs and take initiative.
- Commitment to the mission of getting Big Money out of politics and protecting the right to vote.
Preferred Qualifications
- Prior experience providing administrative or scheduling support to executives or senior staff.
- Familiarity with database systems and comfort learning new tools and technologies.
- Experience coordinating meetings, events, or travel logistics.
- Background in nonprofit, campaign, or political organizations.
- Knowledge of compliance or campaign finance regulations is a plus.
