Position Summary

The Executive Assistant will play a pivotal role in supporting the CEO and leadership team by managing strategic, operational, and administrative tasks. This position combines high-level strategic support with hands-on management to ensure the CEO can focus on key decisions. The Executive Assistant will represent the CEO, drive communication efforts, and help streamline processes while upholding the mission and vision of NEW. Additionally, the Executive Assistant is an ambassador of NEW’s mission, actively contributing to the organization’s objectives and ensuring alignment.

Candidate Profile:
The ideal candidate will be a proactive, highly organized, and detail-oriented professional who can balance strategic thinking with day-to-day operational support. They should possess exceptional professionalism, communication and project management skills, an ability to maintain confidentiality, and a proven track record in supporting senior leadership. Additionally, the ideal candidate should possess the following expertise, experience, and skills to successfully fulfill the duties and responsibilities outlined below:

Duties and Responsibilities

Administrative Support:

  • Manage the CEO’s calendar, prioritize tasks, draft communications, and maintain confidential records.
  • Arrange travel and accommodations for senior staff.
  • Perform clerical and administrative tasks including scheduling appointments for external partners, drafting letters, memos, invoices, reports, and other documents for senior staff.
  • Handle complex administrative tasks including expense reports and calendar management for executives.
  • Receive incoming communication or memos on behalf of senior staff, review contents, determine importance, and summarize and/or distribute contents to appropriate staff.
  • Manage the reservation of conference rooms, coordinate catering services, and ensure the rooms are fully prepared for meetings.

Strategic Support:

  • Serve as a trusted advisor to the CEO, offering guidance on key decisions and representing the CEO in meetings with stakeholders.
  • Act as the key point of contact between the CEO and executives, clients, and partners. Develop messaging and communication plans that align with the organization’s goals.
  • Lead the planning and execution of key events. Identify new advocacy channels to ensure the organization’s relevance and impact.

Content & Branding:

  • Refine organizational messaging, ensuring PR materials maintain brand consistency and align with the company’s values.

Operational Planning:

  • Support senior leadership in shaping organizational strategy. Provide research and recommendations to enhance effectiveness.

Project & Process Management:

  • Ensure timely completion of CEO initiatives. Streamline processes and create efficient systems to meet deadlines.

Qualifications and Experience

  • At least four years of related experience required.
  • Excellent written and verbal communication skills, including the ability to engage external partners, provide reports, and support programs.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced environment.
  • Proficiency in Microsoft Office programs and applications, and database systems and software as needed by the program.

Education and Experience

  • High school diploma required; Bachelor’s degree in Business Administration or related field preferred.

Additional Requirements

  • Must have access to reliable transportation, provide proof of current California driver’s license, acceptable driving record (current DMV H6 printout), and current liability auto insurance.
  • Fingerprinting and TB Clearance.
  • Flexible with working hours, including evenings and weekends.
