Overview

The Executive Assistant is responsible for providing high-level administrative support, oversight and organization in a highly professional and efficient manner to ensure the day-to-day fulfillment of the responsibilities and commitments of several C-suite level Executives.

Responsibilities

  • Responsible for and manages multiple complex calendars, scheduling meetings and events for several C-suite level Executives
  • Coordinates corporate meetings, departmental functions including conference room reservations and setup for board meetings
  • Greets and maintains contact with department visitors and clients. Serves as first line of communication between clients and bank while delivering excellent customer service and demonstrate a high degree of professionalism and confidentiality
  • Anticipates the needs and applies strategic business thinking to support the Executives
  • Makes appropriate, informed decisions regarding the EVPs’ scheduling
  • Develops and prepares reports, documents, and presentations for department staff as directed
  • Maintains accurate bank corporate records/filing system including board related documents to be reviewed by auditors and regulators
  • Screen calls and prioritize emails
  • Maintain high level of professionalism and confidentiality in work assignments, documents
  • Processes and maintains correspondence, files, records and minutes, and performs other specific duties
  • Coordinates detailed travel arrangements at domestic and international level for Executives and Board of Directors
  • Prepare expense reports, submit timecards, special assignments
  • Maintains office supplies inventory
  • Assists with receptionist relief for breaks, lunch and as needed
  • Perform other duties and special projects as assigned by Executive Assistant

Qualifications

  • 5-7+ years of related experience in an executive administrative capacity reporting directly to high level executives
  • Experience in a fast paced corporate environment working with executives, management, auditors, regulators, all levels of staff, outside clients
  • Strong organizational skills, attention to detail and problem solving skills
  • Ability to prioritize multiple tasks with minimal supervision
  • Ability to work efficiently and calmly under pressure in a fast paced environment
  • Highly professional and interpersonal skills when dealing with clients, employees, executives and board of directors
  • Self-motivated and proactive with minimal guidance
  • Excellent verbal and written communication
  • Excellent time management skills and ability to prioritize assignments/tasks
  • Must be able to take initiative, adaptable and multi-task to meet multiple deadlines
  • Flexibility in work schedule
  • Expert in Microsoft Excel, Word and Power Point
  • Professional working proficiency in Mandarin is a plus

Compensation

The base pay range for this position is USD $60,000.00/Yr. - USD $90,000.00/Yr. Exact offers will be determined based on job-related knowledge, skills, experience, and location.
