Your assignment

The executive assistant is responsible for doing the administrative work the CEO/President needs done to be able to spend their time on the strategic leadership of the organization. You will help manage CEO/President tasks including their calendar, meeting preparation, travel arrangements, presentations, and general office support.

You also execute key projects directed by the CEO/President, such as internal/external meeting and event coordination, research, communication management, document preparation, and expense tracking. This role requires exceptional communication, organization, and time management skills, along with the ability to prioritize and handle sensitive information with discretion.

  • Act as a liaison between the CEO and internal/external stakeholders.
  • Manage the calendar/meetings through strategic prioritization, clear communication, and relationship building.
  • Prioritize and manage incoming communications (emails, phone calls, and other inquiries), ensuring timely responses.
  • Prepare and organize materials for meetings, including presentations, reports, and agendas.
  • Coordinate and schedule internal and external meetings, conferences, and calls, ensuring seamless coordination of all parties.
  • Manage travel by arranging/booking, preparing itineraries, and handling logistics and problem-solving.
  • Assist with strategic initiatives and special projects, ensuring deadlines are met and goals are achieved.
  • Track progress on key initiatives, providing regular updates to the CEO.
  • Handle logistics and coordination for major events and high-level engagements.
  • Manage inventory and ordering of office, cleaning, and kitchen supplies.
  • Other duties as assigned.

Required skills:

  • Able to maintain a high degree of discretion and confidentiality.
  • Proficient in Microsoft Office suite (Word, PowerPoint, Excel).
  • Ability to see what needs to be done and have the independent drive to do it.

Success criteria:

  • Flawless calendar management, including travel.
  • Effective and timely communication with CEO and their contacts.
  • Highly effective and accurate presentations.
  • Every event is well planned and executed on time and within budget.
  • Key initiatives and projects are completed on time, effectively, and accurately.

Qualifications:

  • 5 years of experience as an executive assistant required.
  • Be an outstanding person and teammate, elevating those around you.
