Overview
The Administrative Coordinator is the Executive Assistant to the Chair of the Department of Neurology at Upstate Medical University. The employee will handle the Chair's schedule and manage the administrative operations of the Neurology Department.
Responsibilities
- Physician recruitment and on-boarding of physicians and other providers; coordinate travel, prepare itineraries, and work with multiple campus departments; manage medical staff appointments, re-appointments, and promotions; create complex clinical schedules for multiple services, including input into scheduling software.
- Assist physicians with online profiles, update departmental website, and prepare department newsletters as needed. Act as liaison with physicians and other departments to coordinate receipt of information and maintain detailed records to track receipt. Manage department-level communications from the Chair and distribute information to appropriate parties.
- Coordinate office moves and setup, work with IMT and Telecommunications; coordinate purchasing of equipment, computers, and office supplies; reconcile purchases. Manage work orders with Property, Plant and Equipment; maintain a detailed log of department equipment and a record storage system.
- Prepare PowerPoint presentations for meetings; record and distribute minutes. Liaise with the Dean's Office, the Medbest Credentialing office, UUMAS and others. Maintain spreadsheets, directories and other tracking tools used by department personnel.
- Supervise administrative staff; organize departmental functions and special events. Prior supervisory experience preferred. Proficiency with Word, PowerPoint, and Excel required. Excellent oral/written communication, interpersonal, and organizational skills required.
Qualifications
Minimum Qualifications: Bachelor's Degree in an appropriate field and 2 years related experience. Will consider an equivalent combination of education and experience.
Preferred Qualifications: Excellent oral and written communication skills, competency in appropriate computer software applications, and good organizational skills.

Work Days: M-F Daytime Hours
Compensation
G6: $22.00 - $38.57
