Position Summary

We are seeking an organized, detail-oriented Executive Assistant to provide direct support to the firm’s owner and assist in the daily operations of our wealth management practice. This role requires excellent communication skills, a high level of professionalism, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Schedule, confirm, and manage appointments for the owner and team.
  • Follow up on paperwork and required documents from prospects and clients.
  • Manage and maintain the firm’s CRM system, ensuring data accuracy and completeness.
  • Manage the firm’s email list and prepare/send the monthly client newsletter.
  • Answer and route incoming calls, providing exceptional client service.
  • Organize and maintain both physical and digital client files.
  • Prepare account opening applications and other financial paperwork.
  • Input client data into financial planning software and generate reports.
  • Assist in planning, coordinating, and executing marketing campaigns and educational seminars.
  • Provide any required administrative and operational support to the owner to ensure the smooth running of the firm.

Qualifications

  • Previous experience in an administrative or executive assistant role, preferably in financial services or a professional office environment.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to quickly learn new software.
  • Experience with CRM systems and email marketing tools preferred.
  • High attention to detail and accuracy in data entry and document preparation.
  • Ability to maintain strict confidentiality with sensitive client information.
