Responsibilities
- Provide high-level administrative support services for HR&A/OSP senior leadership staff (routine and non-repetitive) including secretarial and general clerical functions.
- Perform office management support activities, multi-task, and draft/edit executive correspondence; process mail; handle calls; check in visitors; assist in drafting meeting notes; manage personnel records and travel.
- Independently manage projects requiring research and preparation of briefing charts and other presentation materials; handle key taskers and activities, addressing a range of administrative office functions and deviations with general guidance, priorities, policies, and program goals.
- Word processing, email management, spreadsheet management, preparation of briefing charts and materials, and editing critical documents; prepare routine HR data reports and executive-level correspondence as needed.
- Maintain records (manual and electronic) using Microsoft Word, PowerPoint, Excel, and SharePoint; manage databases and lists as requested.
- Answer and screen telephone calls; greet visitors; set up and maintain filing systems.
- Data entry using MS Office Suite, Outlook, shared drives, and SharePoint; manage incoming communications and summarize or distribute contents to appropriate staff.
- Summarize content of incoming correspondence for executive review; maintain office calendar and coordinate meetings, travel arrangements, logistics for meetings, and read-ahead materials.
Education & Qualifications
- Bachelor of Science and/or Bachelor of Arts degree, preferably in Human Resources, Communications, or related fields.
- Minimum of 3 years in an administrative, communications, or clerical role.
