The Executive Assistant (EA) to the President provides high-level administrative and strategic support, serving as a trusted partner to the President of Ultimus. This role requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment. The EA acts as a liaison between the President, internal teams, Board members, clients, and external stakeholders, ensuring smooth operations and effective communication across the institution.

Essential Duties and Responsibilities

Administrative Support

  • Manage the President’s complex calendar, schedule meetings, and coordinate travel arrangements.
  • Prepare, edit, and manage correspondence, reports, presentations, and other documents on behalf of the President.
  • Organize Board of Directors and senior leadership meetings, including agendas, logistics, and materials.
  • Track and prioritize incoming requests, ensuring timely responses and follow-through.

Executive Operations

  • Support strategic initiatives by conducting research, preparing briefs, and summarizing key information for decision-making.
  • Monitor deadlines, deliverables, and projects to ensure alignment with institutional goals.
  • Maintain and organize confidential files, records, and sensitive information.
  • Assist with budgeting, expense reporting, and financial tracking for the Office of the President.

Relationship Management

  • Serve as the first point of contact for internal and external stakeholders on behalf of the President.
  • Build and maintain strong relationships with Board members, regulators, clients, and senior executives.
  • Represent the President with professionalism and diplomacy in all interactions.

Special Projects

  • Coordinate cross-functional projects and initiatives that support organizational strategy.
  • Draft and edit communications, including emails, memos, and talking points.
  • Provide support for company events, investor meetings, and client engagements.
  • Build and maintain strong relationships with Board members, regulators, clients, and senior executives.
  • Represent the President with professionalism and diplomacy in all interactions.

Qualifications

  • Bachelor’s degree in Business Administration, Finance, Communications, or related field or direct experience.
  • Minimum 5–7 years of executive-level administrative experience, preferably within financial services, banking, or related industries.
  • Strong financial and business acumen with ability to understand industry terminology and documents.
  • Exceptional organizational, time management, and multitasking skills.
  • Outstanding written and verbal communication skills.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.
  • High proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and virtual collaboration tools (e.g., Zoom, Teams, SharePoint).
