Search Consultant - Creative & Marketing

Adecco is partnering with a privately held accounting & business support firm in Wilmington, DE (Greenville area) to hire an Executive Assistant who will be the right hand to firm leadership. This role blends high-caliber executive support with light operational/accounting coordination—perfect for someone who is organized, client-savvy, and thrives in a fast-moving professional-services environment.

Responsibilities

  • Be the chief organizer: Own complex calendars, prioritize requests, schedule client meetings, coordinate travel, and provide proactive gatekeeping for the Managing Partner and senior team.
  • Drive meetings to outcomes: Prepare briefs and agendas, compile client materials, capture action items, and follow through to completion.
  • Keep client work flowing: Support onboarding (NDAs, engagement letters, W-9s), track deliverables and deadlines, and liaise with clients and vendors with polished, confidentiality-first communication.
  • Support accounting operations: Assist with time/expense capture, invoice preparation, AP/AR follow-ups, and basic reconciliations; help assemble monthly/quarterly client packets.
  • Document mastery: Draft, proof, and format letters, spreadsheets, and presentations; maintain secure digital filing and version control.
  • Seasonal “busy season” assist: Coordinate intake forms, e-sign routing, e-file confirmations, and checklist tracking to keep tax projects on schedule.
  • Office & project coordination: Manage supplies and vendors, oversee small office projects/events, and troubleshoot day-to-day operational needs.

Qualifications

  • 4+ years supporting executives or partners—ideally in professional services (accounting, legal, consulting, finance).
  • Expert Outlook/Calendar, strong Word/PowerPoint, and Excel comfort (sorting/filtering, basic formulas; pivots a plus).
  • Working knowledge of QuickBooks or similar, and comfort with e-signature/CRM tools (e.g., DocuSign, HubSpot/Practice Mgmt).
  • Impeccable discretion, crisp writing, proactive problem-solving, and the ability to juggle multiple priorities without dropping details.
  • Client-service mindset—confident, courteous, and calm under pressure.

Nice-to-haves

  • Exposure to public accounting workflows (tax season rhythms, e-file processes).
  • Familiarity with practice/tax software (e.g., Lacerte/Drake/UltraTax).
  • Notary commission or willingness to obtain.
