We are hiring to grow our Executive Operations team and support senior leadership with essential administrative support, priority management, and operational excellence. This onsite role reports directly to a member of the executive team at our Everett, WA office.
You Will
- Provide comprehensive support to senior leaders, including inbox and calendar management, scheduling, and prioritization of daily activities
- Coordinate domestic and international travel logistics, itineraries, and accommodations for leaders and external partners
- Support planning and execution of leadership meetings, team events, and offsites
- Develop presentations, briefings, and key communications for executives
- Track action items, deadlines, and recurring responsibilities
- Prepare agendas, itineraries, and briefing materials to ensure leaders are set up for success
- Coordinate expense reports, reimbursements, and other administrative tasks
- Handle sensitive information with discretion and professionalism
- Serve as a trusted partner to leadership, building strong cross-functional relationships
Required Skills
For Executive Assistant Roles (early-career):
- 2–4 years of professional experience, ideally in administrative or operational support
- Experience with calendar organization
- Experience booking and managing travel logistics
- Eagerness to grow and integrate tools (including AI) to streamline support
- Ability to work onsite and mirror leadership schedules, evenings/weekends as needed
- 5+ years supporting C-suite or senior executives during a period of high-growth
- Demonstrated ability to manage complex calendars, logistics, and communications
- Exceptional judgment and professionalism in handling sensitive matters
- Experience problem-solving and adapting to shifting priorities
- Experience preparing presentations and supporting strategic projects
- Proven track record of building trust and operating as a strategic partner

Total Compensation and Benefits
Helion\'s compensation package includes a competitively benchmarked base salary, meaningful equity grants, and comprehensive benefits. Final compensation is determined through a holistic evaluation of your experience and qualifications, with consideration for internal equity.
This is an exempt salaried role.
Annual Base Pay
$91,000 - $120,000 USD
