Responsibilities

  • Conduct research to compile data relating to required department reports and special projects, and make recommendations on report formats and software requirements.
  • Compose and type complex letters and memoranda requiring substantial individual judgment using PC/word processing software.
  • Route and answer correspondence not requiring Executive's attention.
  • Independently establish, organize and maintain files of Executive's correspondence.
  • Communicate department policies and procedures as directed by Executive.
  • Assist Executive in administrative details, usually of confidential nature.
  • Perform secretarial duties such as screening telephone calls, letters and/or visitors, answering questions, and furnishing information; open and distribute mail, settle expense accounts and maintain office supply inventories and appointment calendars.
  • Perform other related duties as assigned.

Qualifications

  • High School Diploma desired (or equivalent in education and experience).
  • 5+ years of directly related experience.
  • MOS (Microsoft Office Specialists) certification is a strong plus.

Preferred qualifications

  • Some college courses or specialized secretarial training
  • Excellent communication skills both verbal and written
  • Superb organization skills
  • Expert knowledge of Microsoft Office (Word, Excel, PowerPoint) with experience producing high quality reports, presentations and other documents
  • Proven ability to work effectively independently and in a team-based environment; ability to handle confidential matters
  • Substantial knowledge of the department's operation and company procedures
  • Proven ability to assemble, compile, analyze and summarize data
  • Demonstrated analytical ability in preparing reports and gathering statistical data
  • Ability to work independently on projects and anticipate/address issues in the executive's absence
  • Must be assertive, creative and innovative, with proven decision-making skills
  • Experience working with senior management
