Overview
The Executive Assistant to the Vice President (EA-VP) is an integral member of the core leadership team, supporting the Vice President’s engagements across Health Sciences, University, communities, and external stakeholders. This role requires strategic coordination, proactive problem-solving, and high-level communication to help advance key initiatives and ensure smooth VP operations, including scheduling, meeting preparation, and follow-up materials.
The EA-VP serves as the primary point of contact for internal and external constituencies directed to the VP, independently prioritizing inquiries, determining appropriate actions, and ensuring timely responses. The role also manages the VP’s daily operations, triaging and responding to correspondence, coordinating complex calendars, travel, and special projects to align with institutional priorities. Flexibility for evening and weekend engagements is required.
Key Responsibilities
- Provides executive leadership support by managing daily operational workflow.
- Serves as the primary liaison between the VP, internal and external stakeholders, the University, and HSC administration.
- Demonstrates flexibility to work non-traditional hours as needed.
- Prioritizes the VP’s daily workflow, drafts high-level correspondence, and flags urgent matters.
- Oversees the VP’s schedule with complex calendar coordination, travel arrangements, and strategic engagements.
- Proactively ensures the VP is well-prepared for meetings with briefings, background materials, talking points, and related materials.
- Designs and implements procedures and systems to enhance operational workflow and office efficiency.
- Handles sensitive and confidential matters with discretion.
Project & Initiative Management
- Oversees and coordinates short- and long-term projects across UNM HSC, stakeholders, and collaborators.
- Develops, tracks, compiles, and analyzes data related to VP initiatives, producing reports and presentations for leadership and partners.
- Manages a portfolio of programs and projects with institutional, community, and national/international impact.
- Supports the development and execution of strategic initiatives that advance the VP’s goals and the institutional mission.
Stakeholder & Community Engagement
- Represents the VP in meetings, committees, and external events as needed.
- Establishes and maintains clear communication channels to promote collaboration with a broad range of stakeholders.
- Maintains collaborative relationships across academic and community domains with strategic communication and reporting.
- Drafts and edits high-quality reports, presentations, and correspondence for internal and external audiences.
- Develops and maintains organized systems for data, information, and records related to the VP’s initiatives.
- Researches and compiles briefing materials to support public addresses and strategic decision-making.
Other Duties as Assigned
Provides flexible and adaptive support as required.

Qualifications
Minimum Qualifications: High school diploma or GED; at least 2 years of experience managing at least one of the following functional areas: fiscal services, administration and/or human resources AND 3 years of additional related experience. Education completed from an accredited institution may be substituted for experience on a year-for-year basis.
Preferred Qualifications: Bachelor’s degree (preferred); experience in higher education, healthcare, or a complex institutional environment; two to five years of executive-level administrative experience focused on email management, calendar coordination, project oversight, and stakeholder engagement.
