Overview

Executive Assistant role at Cesar Chavez Foundation. Under the supervision of the Chief Financial Officer (CFO), assists in coordinating activities to meet the corporate goals of the organization. Responsibilities include corporate and fund coordination duties, assistance in program implementation, annual deadline support for CFO in audits and insurance renewals, and general office support. The position requires a highly self-motivated individual who can follow through timely and correctly with assigned tasks while thriving in a multi-task, multi-goal environment.

Essential Duties and Responsibilities

Essential duties and responsibilities include the following. Other duties may be assigned.

  • Support the CFO’s communication and coordination with internal and external entities, including, but not limited to, the Office of the President, organizational leaders, Financial Management staff, auditors, other support services, lenders, investors, and supporters.
  • Manage accurate and timely submission, dissemination and documentation of documents for review at various approval and monitoring committees that support the CFO’s work.
  • Analyze, organize and orchestrate general office operations to maintain high levels of effectiveness and efficiency, using appropriate software applications and office management procedures.
  • Lead in the preparation of correspondence, memos and reports, including researching, structuring content, writing, production and presentation.
  • Assist the CFO with research on federal, corporate, and foundation projects on an ongoing basis.
  • Manage the CFO’s calendar, including arranging complex and detailed travel plans and itineraries.
  • Support special events by planning and undertaking logistical issues, including facilities, food, invitations, coordinating speakers, and budget control.
  • Assist the CFO by handling miscellaneous duties requiring analytical thought and written responses.

Supervisory Responsibilities

The job does not, at this time, have consistent supervisory responsibilities. On special occasions and for specific projects, may directly supervise a small number of interns, clerical employees and/or reception staff. Carries out coordinating responsibilities in accordance with job duties, the organization’s policies and applicable laws. Responsibilities may include planning, assigning, and directing work.

Education And/or Experience

Associates degree or equivalent; or two to five years related experience and/or training; or equivalent combination of education and experience. Bachelor’s degree strongly preferred.

Pay Rate: $22.00 - $24.00 DOE
