Reporting to the Chief of Staff, the Senior Executive Assistant is central to the President's Office and the organization's success. They ensure effective and timely communication and administration by providing high-level coordination and support to the President and CEO and Board of Directors. They act as a gatekeeper for all internal and external constituents, exercising good judgment, with strong communication and organizational skills, and the ability to balance competing priorities. They must work well both independently and as part of a team, handling urgent issues with discretion, creativity, and flexibility.

Global Refuge, formerly known as Lutheran Immigration and Refugee Service (LIRS), is a nonprofit serving newcomers seeking safety, support, and a share in the American dream. Since 1939, we have welcomed those seeking refuge, upholding a legacy of compassion and grace for people in crisis. We work with individuals, families, and children in refugee resettlement, care for unaccompanied children, and economic empowerment and employment. Our programs extend to Guatemala and Mexico, where we support skills training and community reintegration. To date, we have served over 800,000 people. Duties
  • Manage the President & CEO's calendar, schedule meetings, and coordinate with the President's Office team to ensure commitments are met.
  • Prepare the President & CEO for meetings and events with briefing materials (agendas, bios, talking points, prep meetings) and coordinate across departments.
  • Research and compile data; analyze and summarize information to inform management decisions.
  • Prioritize Office of the President tasks, manage short- and long-term commitments, and track follow-up on critical items.
  • Serve as the communications hub to direct and coordinate information internally and externally (Senior Leadership Team, Leadership Team, Board of Directors, funders, and donors).
  • Coordinate travel logistics for the President & CEO in collaboration with other departments and external contacts.
  • Support administrative needs for internal and external events, including space negotiations, contracts, and equipment/technology needs.
  • Prepare and submit monthly expense reports and other administrative tasks.
  • Produce internal and external documents (minutes, letters, forms, etc.).
  • Document next steps and follow-up items, assign responsibilities, and track progress.
  • Provide after-hours and weekend support as needed to meet deadlines.
  • Support the Board of Directors, Board Secretary, and Subsidiary Boards in executing fiduciary responsibilities, including agenda development and ensuring compliance.
  • Serve as Corporate Assistant Secretary for the Board, attending meetings and maintaining records; act as staff liaison on Board committees as needed.
  • Collaborate with the Senior Leadership Team on Board-related cross-departmental interactions and record maintenance.
  • Other duties as assigned.
Qualifications
  • Undergraduate degree preferred (Business Administration, English, Communications, or related field) with at least six years of professional administrative experience; at least three years supporting senior executives or an equivalent combination of education and experience.
  • Proven experience supporting a Board of Directors in executing strategic and fiduciary responsibilities.
  • Knowledge of parliamentary procedure strongly preferred.
  • Ability to work independently with sound judgment on complex tasks and projects.
  • Willingness to learn new technology to improve efficiency and effectiveness.
  • Excellent organizational skills with meticulous attention to detail and the ability to manage shifting priorities.
  • Strong project management skills with the ability to coordinate multiple projects in a fast-paced environment.
  • Excellent verbal and written communication skills, including proofreading.
  • Discretion handling confidential issues and the ability to discern sensitive information.
  • Proficiency with Microsoft Office Suite (Outlook, Word).
  • Willingness and ability to travel up to 15% of the time.
  • Willingness to work evenings and weekends as needed.
  • Experience with and commitment to working in a diverse workforce.
