Job Overview
The Client Support Assistant will provide assistance to the attorneys on the client service team in delivering the highest level of service possible. As a key team member, the Client Support Assistant is proactive in effectively servicing specific client needs, balancing multiple work demands, taking personal responsibility for the quality and timeliness of their work, and maintaining strict client and firm confidentiality. The Client Support Assistant maintains a highly professional demeanor and focus and seeks to maximize individual contributions to the team and support client needs.
This role has a hybrid working arrangement. Potential candidates must live within commuting distance of our Los Angeles office in Century City to be onsite 3 days per week and be flexible to work onsite additional days as needed for client needs. In this role, you will report to the Office Administrator.
Essential Functions
- Effectively and efficiently manage relationship with client(s), taking on the role of liaison between the firm and the client(s).
- Create, edit, format and proofread documents including, but not limited to, agreements, contracts, plans, etc. and maintains such documents within the firm’s document management system.
- Has command of workflow and use firm resources fully and appropriately.
- Prepare and finalize legal documents for e-Filing as needed.
- Communicate directly and on behalf of attorneys with third parties, including outside vendors. Responding timely to all third-party inquiries.
- Work as a key team member within the practice group.
- Organize and coordinate conference calls and client meetings.
- Prepares new client matter requests and coordinates approval; conflict search processes; and new matter letters.
- Review and edit bills and related reports according to client billing arrangements and facilitate prompt responses to client billing inquiries.
- Edit and coordinate client proposals with attorneys and the Marketing Department.
- Maintain and manage contacts, keeping information current.
- Maintain and monitor attorney calendars.
- Coordinate and/or book travel arrangements.
- Prepare, track and maintain attorney expenses in Chrome River.
- Perform other responsibilities as assigned.
- Work additional hours as needed to fulfill job requirements, including extended hours during the business week and weekends

Skills/Qualifications
- 5+ years of paralegal or legal secretarial experience, in a professional services environment required.
- Litigation experience required; matrimonial law experience preferred.
- College degree preferred; High School diploma or GED required.
- Notary preferred.
- Strong communication (verbal and written) and interpersonal skills.
- Basic mathematical and finance skills required.
- Extremely well-organized with a keen attention to detail and accuracy.
- Ability to multitask and set priorities appropriately.
- Customer service oriented, with commitment to promptness and accuracy of responses.
- Ability to exercise initiative to identify attorney and client needs and commitment to assist with what is needed.
- Ability to understand complex relationships and organizational structures.
- Proven analytical, problem solving, critical thinking, and decision-making skills.
- Ability to think quickly on one’s feet and handle a high volume of work without error in a fast-paced environment.
- Ability to work independently as well as in a team-oriented environment.
- Commitment to strict confidentiality and discretion.
- Ability to receive detailed information through oral and written communication.
- Ability to exchange information and receive instructions via phone and email.
- Unquestioned integrity and professionalism.
- Strong proficiency in Microsoft Suite (Word, Excel, Outlook, Teams), and prior use of Chrome River, InterAction, and Carpe Diem.
- Promote positive work habits, including effective and timely communication, teamwork, and demonstrating respect for colleagues.
- Contribute to providing the highest quality of service to internal and external clients.
- Take appropriate initiative and ownership of job responsibilities while ensuring the assignments/job duties are performed successfully and on time.

- Ability to maintain regular attendance and work regularly scheduled hours.
- Ability to sit for long periods of time, type, and handle light lifting (files, copy paper, etc.) in a professional office environment.
- Comply with safe work practices including compliance with the firm’s COVID-19 policies and safety measures.
Compensation
The salary range for this role is $75,000 - $95,000. Actual salaries will depend on a candidate's geographic location, relevant experience, and skillset. The salary range listed is just one component of Blank Rome’s total compensation package for employees. Other monetary rewards include annual discretionary bonuses based on performance and profit-sharing contributions based on eligibility and firm profitability.
