Full-Time | Day Shift | Salaried Exempt

We are seeking a highly organized, proactive, and experienced Senior Executive Assistant to provide comprehensive administrative support to our CEO/President. In this pivotal role, you will help ensure the seamless day-to-day operations of the Executive Office and act as a strategic partner in communication, coordination, and project execution.

Key Responsibilities:
  • Manage the CEO’s calendar, schedule appointments, and coordinate travel arrangements.

  • Serve as the primary liaison between the CEO and internal/external stakeholders.

  • Prepare, proofread, and edit correspondence, reports, and presentations.

  • Coordinate board meetings, including logistics, agenda creation, minute-taking, and follow-up.

  • Supervise and support the Executive Office Receptionist/Assistant.

  • Screen and prioritize incoming communications and meeting requests.

  • Process expense reports and assist in managing executive-level budgets.

  • Plan and coordinate executive events, conferences, and special projects.

  • Maintain accurate and well-organized digital and physical files.

  • Handle confidential information with discretion and professionalism.

  • Support strategic initiatives and ensure smooth daily operations of the CEO’s office.

  • Foster a positive, professional atmosphere with high levels of customer and patient satisfaction.

Qualifications:

Education:

  • Associate’s degree or equivalent experience required.

  • Business program graduate from a community college or business school preferred.

  • Must be (or become) a Notary Public within 6 months of employment.

Experience:

  • Minimum 5 years of executive administrative support experience, preferably in healthcare or a high-level executive office.

  • Strong interpersonal, communication, and organizational skills.

  • Ability to work independently and manage multiple projects under tight deadlines.

  • Proficiency in Microsoft Office Suite and other relevant software.

  • Typing, proofreading, and attention to detail are essential.
