Leidos is seeking a full-time Executive Administrative Assistant to support the Office of Systems Engineering & Integration within the Office of Defense Programs. This is a critical primary assistant role in support of the executive Leadership, Division/Office Directors and other Federal and contract staff as assigned. This position will be located at the National Nuclear Security Administration (NNSA) Complex in Albuquerque, NM. The successful candidate will collaborate with the administrative staff located at NNSA Headquarters in Washington D.C., and their Executive Assistant counterparts. The individual is expected to convey a high degree of professionalism, be proactive in their support, demonstrate diplomacy and tact in engagements, maintain a high level of confidentiality, and successfully work in a classified environment. The individual will use advanced computer skills to streamline processes, manage executive schedules, as well as compile briefings, reports, and track actions. The work supports long term, multi-billion-dollar programs within the NNSA Office of Defense Programs.

Note: Must have an active DOD Top Secret or an active DOE Q clearance. Active means the clearance is current and the individual is briefed and occupies a position requiring the clearance.

Responsibilities

  • Detail oriented, professional demeanor with strong organizational and interpersonal skills.
  • Maintain attention to detail in a multi-project environment with potential interruptions, requiring prioritization.
  • Exercise mature judgement and make independent decisions in accordance with established policies, rules, and procedures.
  • Work in a team environment, interfacing with federal and contractor staff and communicating effectively in writing and verbally.
  • Manage executive schedules, multiple meetings, and work in classified and unclassified environments.
  • Handle a wide range of administrative duties (travel, calendars, correspondence, organization charts, telephone lists) in support of the Office.
  • Use advanced computer skills to manage data and streamline procedures.
  • Develop and manage the Office master schedule of meetings and actions.
  • Manage external communications, training, office management, and information archival.
  • Review timesheets for completeness and compliance in a federal timekeeping system.
  • Use a federal travel system (Concur) to manage and track travel expenses.
  • Coordinate with logistics staff to support Office facilities requirements and office space.
  • Setup offices and onboarding for new personnel.
  • Process classified visit requests, coordinating with sites and submitting DOE clearance information.
  • Arrange classified/unclassified conferences and meetings.
  • Administer security procedures for access to controlled areas.
  • Oversee classified and unclassified document management.
  • Experience with administering security processes that ensure security and integrity of classified systems, hardware and data.
  • Manage physical security of classified safes and administer security procedures for controlled areas.
  • Protect integrity, authenticity, and confidentiality of records in accordance with procedures.
  • Assist Federal staff with briefings, uploading materials and slides for meetings.
  • Work with Federal and contractor staff to track and monitor deliverables and actions.
  • Manage classified and unclassified documents within SharePoint in accordance with regulations.
  • Facilitate leadership/senior management correspondence and communication, preparing briefings, memos, and correspondence with minimal oversight, and compose effective correspondence and reports.
  • Maintain awareness of and competence in NNSA-HQ initiatives for communication and information sharing.

Required Qualifications

  • Active DOE Q clearance and/or an active DoD Top Secret clearance
  • High School diploma with 5+ years of related experience including work in classified and unclassified environments
  • Excellent written and verbal communication skills, with experience developing briefings for senior and executive management
  • Proficiency in the Microsoft Office suite (Word, PowerPoint, Outlook, Excel)
  • Proficiency in federal travel system (Concur), federal timekeeping system, and SharePoint
  • Proficiency in Adobe Acrobat Pro
  • Experience administering security processes to ensure security and integrity of classified systems, hardware and data
  • Experience maintaining physical security of classified safes and controlled content
