Position Overview
QinetiQ US is looking for an Executive Assistant. This position supports senior DoD leadership within the Office of the Secretary of Defense at the Deputy Assistant Secretary of Defense (DASD) level. The candidate will directly support high-ranking Federal Government Senior Executives and interact with DoD Flag / General Officers and their staff. The role requires independent judgement and discretion, including prioritizing the principal’s time based on interpreting general guidelines and established protocol.
Responsibilities
- Formulate and refine multiple standard operating procedures, processes, and templates based on subject matter expertise and independent assessment.
- Serve as primary point of contact with senior DoD leadership for interpreting policies, directives, and manuals; provide expert recommendations to the DASD(P) and senior staffs.
- Create tools (e.g., Excel spreadsheets and databases) to track, summarize, and report status of documents and projects.
- Ensure conformance with established guidelines; provide timely feedback and status updates on request.
- Perform special projects on own initiative or as assigned.
- Provide liaison with military assistants, Chiefs of Staff, OSD Protocol, and other personnel to guide daily operations and contribute to strategic plans.
- Coordinate and maintain calendars for DASD(P) senior personnel; resolve conflicts and arrange meetings with senior government personnel, congressional staff, industry, and academia.
- Plan, coordinate, and confirm logistical support for meetings (transportation, security, AV, etc.) and support visits to the DASD(P) activities.
- Prepare daily read-ahead materials for the DASD(P) prior to the end of the duty day; maintain electronic and physical files as required.
- Coordinate office administrative functions including security administration, office space management, security clearances, visit requests, events, and supplies; in-depth knowledge of DoD security procedures preferred.
Required Qualifications
- A minimum of three (3) years of recent, relevant experience
- Extensive experience creating, reviewing, and approving CONUS and OCONUS Defense Travel System (DTS) orders
- Correspondence experience in a DoD environment
- Experience with task or correspondence management systems (e.g., TMT or CATMS)
- Active TS/SCI clearance
Preferred Qualifications
- Bachelor’s degree from an accredited college or university (or specialized experience substituting for educational requirements as approved)
- Experience providing Executive Level Administrative support to high-ranking Federal Government Senior Executives or DoD Flag/General Officers is highly preferred
