Who You Are
The Unemployment Insurance (UI) department seeks an Executive Assistant II with strong organizational skills, attention to detail, and the ability to manage multiple priorities under strict deadlines.
What You Will Do
- Provide high-level administrative and technical assistance to the Division Director (DD).
- Manage the DD's and department directors’ schedules, coordinate meetings, and block time for projects.
- Enter purchase requisitions for supplies and training.
- Handle, prepare, verify, and maintain confidential communications and documents.
- Manage time and leave records, approve timesheets under delegation.
- Arrange travel, complete related forms, and adhere to travel policies.
- Review emails, handle calls, and respond to inquiries regarding program processes.
- Assist with HR activities, including maintaining personnel files and tracking deadlines.
- Develop procedures for division tasks and oversee administrative systems.
- Monitor office supply levels and review correspondence for proper business format.
- Perform other duties as assigned.
Qualifications
- Six years of full-time experience in a responsible position with knowledge of agency programs, business practices, or support services, including analyzing work problems and interpreting policies.
- Relevant academic credits may be counted toward experience requirements.
Preferred Skills
- Strong organizational, planning, and problem-solving skills.
- Experience coordinating executive calendars and meetings with attention to detail.
- Proficiency in Microsoft Office Suite and web applications.
- Knowledge of business practices, rules, and regulations.
- Effective decision-making and communication skills.
- Positive attitude, professionalism, and ability to work independently or collaboratively.
- Discretion, initiative, and critical thinking in administrative roles.
