Overview

Description The Minnesota Supreme Court is seeking a resourceful, highly motivated Judicial Executive Assistant to provide legal administrative support for Justice Karl Procaccini and Justice Theodora Gaïtas of the Minnesota State Supreme Court. This is a highly responsible position that requires the exercise of independent judgment and a high level of accuracy with detailed tasks, under minimal supervision. The successful candidate will be comfortable working in a professional environment, exercising discretion, maintaining confidentiality, and demonstrating strong organizational skills and attention to detail.

Examples of Job Duties

The following are examples of major job duties expected for this position to perform

  • Coordinate the processing of appeals to the Supreme Court, from case assignment to opinion release, including:
    • Maintain calendars of case status and track deadlines.
    • Coordinate the progress of an opinion from drafting stages to final release.
    • Edit and proofread draft opinions and other chambers work product according to justice’s instruction and the court’s formatting and citation style.
    • Navigate the court’s electronic case-management system (MACS) and other court software to retrieve case information and input data to reflect case status.
  • Act as executive assistant to the justices by performing chambers-management tasks, including:
    • Assisting with case preparation.
    • Developing and maintaining templates, trackers, and other case management documents.
  • Manage justices’ schedule and calendaring; track deadlines; assist justices with preparing for upcoming appointments.
  • Facilitate justices’ collaboration with and supervision of law clerks and other court staff.
  • Track and report judges’ expense reimbursement, judicial-education credits, and vacation use.

Typical Qualifications

Below are the experiences and qualifications that will enable success in the role. For education requirements listed, the equivalent number of years of related experience may serve as a substitute.

Minimum Qualifications

  • Graduation from accredited high school supplemented by a college degree and/or post high school legal/paralegal training.
  • Minimum of 3 years of experience in a legal support position.

Preferred Qualifications

  • Paralegal, associate’s, bachelor’s, and other higher degrees or certifications are a plus but not required.
  • Experience working in the court system.
  • Considerable knowledge and understanding of principles and practices of court proceedings, applicable statutes and rules, and records management.
  • Familiarity with MACS (the Minnesota Appellate-Courts Case Management System).
  • Familiarity with legal research tools such as Westlaw.

Knowledge, Skills, And Abilities

  • Must be highly proficient in the use of Microsoft Office applications, SharePoint, and Adobe Acrobat.
  • Must have excellent skills in English grammar, spelling, and punctuation, as applied to editing and proofreading.
  • Must be detail-oriented and highly organized.
  • Must be comfortable working with electronic documents.
  • Must be able to effectively and respectfully communicate with the public as well as court and judicial personnel.
  • Must be able to learn and willing to work with varying hardware and software programs.
  • Must have experience and skills in exercising professional discretion and maintaining a high level of confidentiality.
  • Must be resourceful, flexible, and comfortable working in a team atmosphere.

Salary

The expected starting salary range is $29.42 -$37.55 per hour ($61,429 – $78,404 annually). The full salary range for this position is $29.42-45.67 per hour ($61,429 – $95,359 annually). This position is non-exempt under the Fair Labor Standards Act and is eligible for State of MN employee benefits.

Supplemental Information

Position Logistics

This full-time position is classified as a Judicial Executive Assistant and will work mostly normal business hours of 8:00 am to 4:30 pm, Monday-Friday. This work will be conducted in an office setting at the Minnesota Judicial Center located in downtown St. Paul, Minnesota. This position has the opportunity to work a hybrid remote/in-office schedule determined by the hiring manager.
