Property Management Safety Coordinator
Property Location: Oakland
Reports to: Senior Property Manager/General Manager
Status: Permanent/Full Time
General Overview
This role provides administrative and operational support for the day-to-day management of a Class A,1,039,000 square-foot office and retail property located in the Uptown/Lake Merritt submarket of Oakland. In addition, the position serves as the Safety Coordinator responsible for maintaining regulatory safety compliance, vendor safety management, emergency preparedness, and promoting a strong safety culture throughout the property.
Key Responsibilities
Property Management
- Provide administrative support for the property management office
- Greet visitors, answer calls, check voicemail, and maintain office professionalism
- Maintain tidiness of the management office, conference center, and supply areas
- Coordinate tenant and vendor service requests, access badges, keys, and after-hours access
- Prepare tenant communications, correspondence, and billable backup
- Assist with rent statements, monthly reporting, and accounting adjustments
- Track vendor contracts and service completion; monitor tenant satisfaction
- Assist with construction activities, tenant improvements, and vendor oversight
- Coordinate tenant move-ins/outs, notifications, and events
- Maintain strong customer service with tenants and vendors
Safety Coordinator
- Monitor and update regulatory safety compliance policies and procedures
- Develop, maintain, and enforce company safety programs and manuals
- Support emergency planning and assist with emergency drills
- Manage ISNetworld (ISN) vendor compliance: maintain vendor records, track safety ratings, and ensure required documents (insurance, OSHA logs, safety plans) are current
- Coordinate safety onboarding and orientation with vendors and PG&E
- Attend PG&E quarterly safety forums; communicate safety updates to staff and vendors
- Maintain and update the Programmatic Safety Plan
- Lead and coordinate regular safety meetings; deliver safety messages to staff and vendors
- Promote a strong safety culture through education and engagement
- Investigate and document safety incidents involving vendors/tenants
- Conduct job site and vendor inspections; support external audits and inspections
Skills & Qualifications
- Business/AA degree required; Bachelor’s in Business, Occupational Safety, or related field preferred
- 1-3 years of professional business/administrative experience with some construction & safety-related experience preferred
- Knowledge of property management procedures and customer service best practices
- First Aid/CPR required
- Working knowledge of Cal-OSHA/Fed-OSHA standards
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Strong written/oral communication, organizational skills, ability to manage multiple tasks, and work well with others and groups
- Experience working with ISNetworld a plus
- Accounting and construction management experience a plus
- Spanish Speaking Preferred
Compensation
- $40-$45 an hour
