The continuation of these services would not be possible without our administrative team. From Business Development and Community Outreach to Operations and Accounting, our administrative team ensures our center is able to focus on what matters most: serving clients impacted by trauma.
The Accounting Specialist will be an integral part of this role, assisting the Director of Finance in accounts payable and receivable, financial reporting, and other administrative duties to keep our organization financially on track for future growth.
Key Responsibilities
- Accounts Payable: tracking bill due dates, utilizing QuickBooks to enter payments and prepare checks, reconcile credit card statements against receipts.
- Accounts Receivable: enter checks, cash and online donations into QuickBooks daily and prepare funds for bank deposit as needed.
- Organizational Reporting: send Department monthly expense reports, and prepare monthly reports to Development Coordinator.
- Grant-related reporting: monitor and track expenses related to grant funding to ensure proper allocation and reporting in collaboration with the Grants Coordinator.
- Audit Support: assist the Director of Finance with audit preparation as needed.
- Donations: process donations at in-person fundraising events.
- Administrative Duties: perform general clerical duties, assist with organizational projects as needed, and maintain record documentation.
- Other duties include additional duties as needed in support of the Finance team and organization.
Preferred Skills
- Strong working knowledge of QuickBooks.
- Experience in Microsoft Office Suite, specifically utilizing SharePoint.
- Background in nonprofit accounting, including grants, donations, and large sponsorships, preferred but not required.

Job Description

Roles
- Accounts Payable: Track due dates for bills; enter payments into QuickBooks and prepare checks for signature on a weekly basis; mail payments weekly; reconcile credit card statements verifying with receipts.
- Accounts Receivable: Enter checks, cash and online donations into QuickBooks daily; prepare bank deposits.
- Reporting: Send Department monthly expense reports; send prior month income report to Development by the 5th of each month; monitor and track expenses related to grant funding to ensure proper allocation and reporting.
- Billing and Insurance: Streamline insurance billing processes; implement best practices; ensure timely resolution of outstanding claims.
- Administrative Duties: Perform other duties as needed, general clerical duties and organizational tasks; assist Director of Finance with audit preparation; assist at fundraising events processing money as needed; assist with projects and activities; maintain storage and retrieval documentation for records.
