Qualifications:
- Post-high school training is preferred.
- A minimum of two years experience as an administrative secretary and other clerical experience preferred, but not required.
- Proficient computer skills, with an emphasis in Microsoft Word and Excel.
- Ability to safeguard confidential information.
- Ability to navigate simultaneous demanding priorities.
- Documented professional public relations experience.
- Must be available to work some evenings for scheduled meetings.
- Must obtain or currently possess an Arizona DPS IVP Fingerprint Clearance Card is required.
Job Goal: To assist the Superintendent, Finance Director and Governing Board with secretarial needs and other quasi-administrative functions essential to their efficiency and effectiveness.
Performance Responsibilities: Executive Secretary
- Performs all administrative functions related to the Superintendent, Administrative Team and Governing Board.
- Places and receives telephone calls, greets and meets visitors in a professional manner and maintains a positive image to all staff and visitors.
- Maintains the utmost confidentiality of all school district matters.
- Prepares agendas and materials for all Governing Board meetings.
- Posts meeting notices for all Board meetings as required by the Arizona Open Meeting laws.
- Maintains the district policies that are adopted or changed by the Board.
- Attends Governing Board meetings and takes minutes for Board approval.
- Maintains an efficient filing system of records, communications, reports, etc.
- Maintains a calendar of district events and staff directories.
- Safeguards the confidentiality of district records and files.
- Coordinates job postings, openings, and transfers with department administrators.
- Oversees the District fingerprinting process and ensures all active employees have active fingerprint clearance cards at all times.
- Oversees and maintains the contracted substitutes for the District.
- Assists with various human resources duties as needed.
- Others duties and responsibilities as assigned by the Superintendent, the Finance Director or the Governing Board.
Terms of Employment: 12 months Non-Exempt. Salary established by the Governing Board. Employee benefits in accordance with district policies.
