Overview:

A highly regarded law firm is seeking an experienced Legal Secretary to support attorneys in its Seattle office. This full-time, onsite role is ideal for candidates with strong organizational skills, attention to detail, and a deep understanding of legal administrative processes. Legal Secretaries work in a collaborative and team-oriented environment to ensure attorneys receive reliable, high-quality support.

Key Responsibilities:

  • Prepare, edit, and proofread legal documents including contracts, complaints, motions, subpoenas, and correspondence.

  • Coordinate daily workflow for assigned attorneys and collaborate with the in-office Attorney Resource Center (ARC).

  • Assist with client billing processes including editing prebills and coordinating with the billing department.

  • Open new client matters and handle document requests from the firm's Information Governance Department.

  • Schedule meetings and appointments; reserve conference rooms, order meals, arrange A/V support, and send calendar invitations.

  • Handle travel arrangements using the firm's travel provider.

  • Manage time entry for attorneys using the firm's systems.

  • Support document organization, filing (physical and electronic), scanning, and photocopying.

  • Maintain accurate filing systems; ensure documents are stored under the correct client matter number.

  • Provide notary public support, if certified.

  • Process expenses and vendor invoices through the firm's accounts payable system.

  • Convert documents between formats (e.g., PDF to Word), and create/edit PowerPoint decks and Excel spreadsheets.

  • Answer phones professionally, take messages, and support client communications.
Qualifications:

  • Minimum 10 years of legal secretarial experience in a law firm.

  • High school diploma required; associate or bachelor's degree preferred.

  • Typing speed of 60+ words per minute.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and firm-specific tools such as iManage, Emburse, and DTE Time Entry.

  • Familiarity with legal terminology and electronic court filing systems.

  • Excellent communication, organizational, and multitasking skills.

  • Ability to prioritize work effectively, maintain confidentiality, and respond to fast-paced demands.

  • Reliable, professional, and committed to exceptional client service.

  • Flexibility to work overtime as needed.
Compensation & Work Environment:

  • Salary: $70,000 - $96,000 base (dependent on experience and qualifications)

  • Status: Nonexempt (eligible for overtime)

  • Schedule: Full-time, onsite in Seattle
