Legal Secretary – Civil Litigation & Calendaring (On-Site | Full-Time | Hourly)
Schedule: Monday–Friday, In-Office
Base pay range: $33.00/hr - $43.00/hr
This well-established litigation firm is seeking a highly experienced Legal Secretary with a strong background in civil litigation and litigation calendaring. This role is ideal for someone who thrives in a fast-paced legal environment, is detail-oriented, and has a proactive approach to supporting attorneys.
Key Responsibilities
- Manage and maintain the litigation calendar, ensuring all deadlines and court appearances are accurately tracked.
- Use calendaring software to calculate rule-based deadlines and generate weekly reports.
- Format and prepare legal documents for filing in state and federal courts, including pleadings, motions, and appellate briefs.
- Ensure compliance with court rules and filing procedures.
- Monitor incoming communications (mail, email, faxes) for time-sensitive actions.
- Coordinate court calls, depositions, and videographer appearances.
- Maintain attorney e-filing credentials and update case management systems.
- Assist with service of pleadings, discovery, and other legal documents.
Qualifications
- Minimum 7 years of prior law firm experience as a legal secretary in a California-based civil litigation practice, with calendaring software experience required.
- Minimum 5+ years experience with court filing and knowledge of California and Federal civil court rules (including California Code of Civil Procedure and California Rules of Court).
- Knowledge of Microsoft Word, Excel, Outlook, and court-related systems (e.g. PACER and state court systems).
- 5+ years of experience with California-based civil litigation legal calendaring systems and calculating rule-based deadlines.
- Experience with Legal Case Management Systems (e.g., Filevine, Clio, Case Peer, Smart Advocate, etc.).
- Excellent communication skills, both written and verbal, and business writing skills.
- Ability to work and think independently.
- Knowledge of legal formats, procedures, and terminology.
- High school diploma or GED; some college or business school is preferred.
