Salary Range: The expected salary range for this position is $75,000.00-$90,000.00. Please note that the final offer amount may vary based on experience and skillset of the selected candidate.
This position performs full secretarial and administrative duties for attorneys under minimal supervision. It requires a high degree of independent judgment and discretion, with thorough knowledge of litigation and organizational procedures.
Essential Duties
- Performs secretarial functions related to firm administrative tasks, including processing new client/matter requests, client bills, time reports, and expense reports.
- Prepares drafts, revisions, and final documents for client-related matters, including correspondence, memoranda, bills, timesheets, and project work, ensuring accuracy and proper formatting.
- Handles court filings, including e-filing, under attorney supervision.
- Maintains calendars for deadlines related to federal and state procedural rules.
- Manages physical and electronic files, contacts, and case dockets for attorneys.
- Communicates verbally and in writing with clients and opposing counsel as instructed.
- Handles copying, distribution, electronic and physical mailing, and filing of work products.
- Coordinates travel arrangements and schedules meetings and appointments, including managing attorneys’ calendars.
- Answers phones, takes messages, and transcribes dictation, composing correspondence as needed.
- Manages incoming and outgoing mail.
Other Duties
- Provides secretarial support to summer associates, visiting attorneys, and absent secretaries.
- Coordinates couriers and may accompany attorneys to court to assist with materials and documentation.
- Performs additional duties as assigned.
Reporting Relationship
The legal secretary reports directly to the Office Administrator or HR representative and indirectly to assigned attorneys.
Qualifications
Knowledge/Experience
At least ten years of litigation experience, preferably in a mid- to large-sized law firm. Familiarity with court filing requirements, including e-filing, and general office procedures is required. Experience with legal terminology, firm technology, client relationship management systems, and supporting multiple attorneys is strongly preferred.
Skills
Proficiency in MS Word, Excel, Outlook, PowerPoint, and Adobe. Excellent communication, organizational, and multitasking skills are essential. Knowledge of legal record-keeping and customer service skills are required.
Education
High school diploma or equivalent required; two years of college preferred.
Physical Demands
Ability to move within the office, operate office machinery, and handle documents weighing up to 15 lbs. Must be able to observe computer screens for extended periods.
Working Conditions
Office environment with some overtime required. The role is hybrid, with four days in-office and one day remote.
