Overview

USD Sanford School of Medicine is seeking a Senior Secretary for the Department of Pediatrics. Primary responsibilities include managing day-to-day operations of the department, event planning, coordinating clinical rotations for medical students, and working directly with our chairs and leadership to implement the med school curriculum. As the primary point of contact for both students and faculty the department assistant will:

  • Schedule pediatric clinical rotations for students at hospital systems and clinics across the state.
  • Monitor completion of faculty evaluations of students.
  • Coordinate the noon hour bimonthly Grand Rounds lectures, monthly Topic of the Month lectures, and quarterly Faculty Development sessions.
  • Assist in coordinating the quarterly noon hour Faculty and Division Chief meetings.
  • Create flyers for events and a monthly department newsletter.
  • Assist in coordinating the annual faculty survey and gathering information for the department annual report.
  • Assist with special projects and events.
  • Schedule meetings and manage leadership calendars.

Qualifications and Requirements

Ideal candidates will possess, develop, and maintain:

  • Working knowledge of Modern office/clerical procedure and practices.
  • Multiple software products including Word, Excel, PowerPoint, Teams, Outlook, One45, Qualtrics, and various online portals.
  • Up-to-date departmental, university, and regental practices.
  • Ability to research, understand, and effectively utilize data to support the department.
  • Develop and maintain effective working relationships with students, residents, faculty, and staff.
  • Communicate effectively in oral and written form.
  • Work independently with a high level of accuracy and attention to detail.
  • Maintain regular and reliable attendance.

This position offers state health insurance and benefits, which includes a retirement plan with 6% matching, 10 hours of annual leave each month, 9.34 hours of sick leave each month, and 11 paid holidays. Employees also have access to internal and state-sponsored training as well as reduced tuition for state-supported courses at all State of South Dakota academic institutions.
