The hired applicant will spend the majority of their time preparing and conducting in-person or online trainings and supporting those who are trained. Courses will generally be created and maintained in Canvas. This position will spend the majority of the time training and supporting Office Secretaries, Counselors and Registrars. It may require travel to schools if individual training is necessary. This position will also aid in learning and training users in the new version of Skyward called Qmlativ (aka 'Q').
Purpose Statement
The job of Secretary-SIS (Administrative Secretary - Data Services) is done for the purpose of providing a variety of complex and confidential administrative and secretarial support to assigned administrator regarding the Student Information System, conveying information regarding department functions and procedures; ensuring efficient operation of support functions; conducting trainings; compiling and distributing a variety of material and reports; coordinating assigned projects and site activities; providing general clerical support, information and/or direction as assigned.
Essential Functions
- Attends department, in-service meetings, workshops and/or seminars as assigned for the purpose of conveying and/or gathering information required for SIS.
- Creates in-person and online trainings and handbooks for the purpose of ensuring SIS is implemented at an optimal level.
- Develops a variety of trainings for the purpose of providing up-to-date assistance for the District in accordance with established administrative guidelines and legal requirements.
- Monitors discrepancies in student records for the purpose of verifying graduation status and ensuring the accuracy of information.
- Participates in meetings, workshops, and trainings for the purpose of providing or receiving information, recording minutes, and supporting attendees.
- Processes documents and materials for the purpose of providing required information in response to requests from students, other districts, and colleges/universities.
- Provides or assists with SIS training coordination for all employees who use the system for the purpose of ensuring accurate implementation of SIS processes.
- Provides training to Curriculum and Instruction personnel for the purpose of ensuring implementation of accurate information and creating documentation in compliance with guidelines.
- Researches topics for the purpose of providing information and recommendations and/or addressing SIS requirements.
- Responds to questions from internal and external sources for the purpose of providing information and direction and facilitating communication.
- Schedules activities for the purpose of making necessary arrangements for assigned administrator.
- Supports SIS and related applications for the purpose of ensuring SIS support for students, patrons and staff.
- Supports assigned administrative personnel for the purpose of providing assistance with their functions and responsibilities.
- Supports parents and students for the purpose of ensuring that SIS is maintained and utilized effectively and timely.
- Verifies student-related data for the purpose of ensuring the accuracy of student records.
Experience and Qualifications
- Job related experience with increasing levels of responsibility is required.
- High school diploma or equivalent.
