Responsibilities
This position requires a combination of clerical, administrative and customer service skills. You will register, check patients in and out of our electronic medical record system. You will answer phone calls, make appointments for patients, and coordinate the retrieval of offsite medical records.
- Places patient/client needs ahead of self
- Demonstrates compliance with findings from QI program findings
- Participates in in-services and training activities as indicated
- Provides input into improving the operations of the department
- Ensures department stock items are available to staff: stationary items, printer/fax cartridges, and other stock item ordering as requested and approved by Director of Rehabilitation
- Keeps front desk work area/waiting room clean and neat
- Assists in keeping treatment areas clean as needed
- Uses proper body mechanics in the movement of equipment
- Obtains and files charts for therapists as necessary
- Follows the direction of the Director and therapy staff in a professional manner
- Gets all demographic information from the patient and inputs it into the scheduling software; schedules all PT, OT, ST, and Cardiopulmonary outpatients in the scheduling software
- Gives each patient a hard copy of their scheduled appointments
- Works with therapy staff to maximize productivity and efficiency in the scheduling of patients
- Prints out reports from scheduling software as requested
- Meets deadlines
- Proofreads all typed work
- Fills out purchase orders/stationery supply requests correctly
- Exhibits proficiency in Microsoft Word and Excel
- Prepares minutes of meetings when requested
- Prepares chart files for new patients by: applying name label, applying paper fasteners to chart, placing the completed patient history and MD script into the chart, placing initial examination, 1 progress sheet and the patient history into the chart
- Replace photocopier, computer printer, fax cartridges as needed
- Organizes incoming faxes and files them as indicated
- Follows all department policies and procedures to maximize cost efficiencies
Qualifications
- High School diploma or equivalent
- General computer skills including knowledge of Microsoft Office
- Bilingual (Spanish/English)
Scheduling requirements
- Shift: 11:00am-4:00pm
- Monday-Friday
- Part Time/Day
