Overview
Legal Secretary - Commercial Direct Placement for Greenburg Traurig. Employment Type: Full-Time, Experienced. Department: Legal Services. Base pay range: $70,000.00/yr - $80,000.00/yr. CGS Federal (Contact Government Services) provides pay ranges; actual pay is based on skills and experience.
Responsibilities
- Handles scheduling and travel arrangements: coordinates court appearances, depositions, arbitrations, mediations, client meetings, conference calls; arranges lawyers’ travel; processes travel reimbursements; maintains calendars and due dates for lawyers.
- Sorts, reads, and annotates incoming mail and documents; answers phones and directs callers as needed.
- Types and composes general correspondence, memos, legal documents, faxes, and reports; ensures accuracy and timely dispatch of documents via mail, messenger, or express delivery.
- Prepares draft documents (briefs, complaints, motions, subpoenas, summonses) using firm templates; prepares motion binders and special working binders.
- Coordinates multi-document filings in Federal, Circuit, and State courts, including E-filings.
- Establishes and maintains filing and records in hard copy and electronic formats.
- Enters lawyers’ time and assists with client billing as required; coordinates with accounting.
- Oversees document reviews; tracks progress and results; prepares related documentation and criteria changes.
- Performs analytical tasks: witness interview memoranda, document and deposition/court transcript reviews, and coding tools.
- Performs and oversees cite checking and proofreading of briefs and other legal documents.
- Assists with trial preparation: creating trial notebooks, organizing exhibits, coordinating witness schedules, maintaining trial calendars, and communicating with opposing counsel and courtroom staff.
- Assists with printing, scanning, organizing exhibit binders, preparing UPS labels and certified letters.
- Assists with other department activities as needed and performs additional duties as assigned.
Skills & Competencies
- Proficiency with rules for court document filings.
- Understanding of a variety of legal documents (complaints, answers, rulings, judgments, affidavits, motions, subpoenas, dockets, etc.).
- Strong judgment, attention to detail, organizational skills, and time management.
- Excellent interpersonal and communication skills; ability to collaborate in a team; works well under pressure to meet deadlines.
Qualifications
- Bachelor’s Degree or equivalent experience preferred.
- Minimum 10 years of experience in a law firm as a Litigation legal secretary/assistant.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook), document management, e-filing.
- Ability to learn new software applications quickly.
