Experience: Minimum of 6 years of relevant experience (e.g. Chief of Staff, Board Liaison, Project Manager, etc.); Parlimentary experience preferred; Experience as a faculty member of university administrator highly preferred. Click for additional information.**Job Status:**Full time**Employee Type:**Staff**Pay Grade:**A14* Collaborates with key stakeholders to identify and prioritize discussion topics, ensuring the agenda aligns with organizational goals and addresses critical issues pertaining to faculty governance.* Ensures that all materials are accurate, comprehensive, and tailored to facilitate informed discussions and decision-making during Senate and General Welfare Committee meetings.* Develops, advises, strategizes, and participates in decisions with the other officers of the Senate, upper-level administrators, deans, members of the Senate and its committees, and other faculty and staff members regarding specific policies and procedures in the Faculty Manual and of legislative actions.* Serves as a source of institutional memory of the Senate for the university, its committees, and legislative actions.* Acts as a trusted and knowledgeable advisor to the annually elected incoming Senate Chair and Vice Chairs (who often are not familiar with the workings of the Senate), its committee chairs, all-levels of administrators, and faculty members, with the ability to maintain strict confidentiality.* Regularly updates senior academic leadership on the progress of Senate legislation, identifying key milestones, addressing any challenges, and ensuring timely completion of all Senate-related tasks.* Takes full ownership of document management, ensuring the organization, maintenance, and* consistency of all Senate-related documents. Implements best practices for document control and security to guarantee that all materials are accurate, up-to-date, and polished.* Record official minutes and track agenda action items through to completion, consulting with other administrators, including the President and Provost to ensure completion. Anticipate potential areas of conflict and advise proponents on presentation strategy and proper protocol to avoid controversy.* Researches and creates official Senate legislation pertaining to the autonomous authority of the University faculty or to the authority shared by the University faculty and the President; maintain legislative and Senate committee archival files of the University. Ensure necessary follow-up, as needed.* Maintains a complete up-to-date and accurate version of the Faculty Manual, making changes as new or amended legislation is adopted, offering explanation and clarification to inquiries, and consulting with the Senate Chair on its interpretation.* Manages Senate communication by overseeing the documentation and uploading of all* relevant materials. Ensures that all documents are accurately uploaded, well-organized, and easily accessible to Senate members, facilitating efficient communication and collaboration, including meeting minutes, agendas, and supporting documents.* Champions continuous improvement of the Senate & other governance processes, regularly evaluating and refining practices to enhance efficiency and effectiveness.* Investigates often sensitive complaints and issues brought to the Senate by faculty members, as appropriate. Determine proper procedure in accordance with University policy, and consult with the Senate Chair and appropriate personnel in the administration to bring about a resolution.* Consults, advises, and responds to inquiries regarding the proper process for approval, filing of complaints, and appeals to our various committees and the Faculty Senate.* Initiate, implement, transmit and monitor ballots to all voting faculty for the required faculty quadrennial evaluations of the Provost, the Deans, and all University departmental chairs and ensure the anonymity of all respondents and the confidentiality and integrity of the process.* Oversees and advises the Senate’s standing and ad hoc committees concerning their membership, activities, reports and tasks. Act as liaison between committee chairs, the Faculty Senate, the Senate Chair, and the University in general. Track committee activities and ensure completion, accurate reporting, and appropriate follow-up of all activities.* Effectively coordinates with other offices on shared governance procedures to continually improve on all projects, and responsibilities as appropriate.* Facilitates seamless execution of all Senate activities. Oversee the day-to-day operation of all of the activities of the Senate office ensuring efficiency, accuracy, quality, relevancy and timeliness.* Complete special assignments which require collecting, organizing, and analyzing data and producing reports pertaining to Senate functions, proposed legislation, composition of the Senate, dean/chair/provost evaluation data, past Senate and/or committee service, or comparisons with other universities.* Advises, and instructs proper election procedures.
