POSITION SUMMARY: To assure the smooth and efficient operation of the office of the Infant-Toddler and Child Find Program so that the maximum positive impact on the education of children may be realized. To provide clerical assistance to program staff on matters related to early intervention and special education; maintain files; coordinate and schedule meetings; contact families and follow up on referrals; and greet and welcome families and community members.
Education, Certification and Experience
At the time of application, the candidate must hold or be eligible for:
- High school diploma or general education development (GED) program certificate, or equivalency
- Business education training with secretarial experience preferred
- Ability to type accurately at a speed of not less than 40 words per minute and must have passed the clerical test administered by Calvert County Public Schools

- Ability to effectively manage time and multiple tasks
- Knowledge of modern office procedures, systems and equipment
- Ability to operate online programs

Essential Job Functions, Responsibilities, and Duties
- Screens visitors entering the school building, ascertains the nature of their business, and directs them to the proper person or room.
- Interacts with families and children on a daily basis.
- Composes and types letters and other correspondence.
- Takes basic initial referral/intake information from referral sources, inputs it into the appropriate database, and notifies the appropriate staff in accordance with legal timelines.
- Processes and sends student record (IEPs and IFSPs) for school enrollments, notifying receiving schools as required.
- Prepares requisitions for supplies and equipment.
- Compiles and prepares a variety of records, reports, memorandums, and other materials. (IFSP Database)
- Maintain inventory as assigned.
- Operates office machines and provides technological support to staff.
- Organizes and maintains office files and records.
- Sorts and distributes interoffice and post office mail.
- Coordinates multiple assessment appointments, meetings and schedules as assigned in order to ensure adherence to legal requirements.
- Coordinates and submits work orders for building maintenance and equipment within the program.
- Assist staff with IEP and IFSP process documentation including parent notification and follow-up paperwork.
- Track timelines for referrals, evaluations, annual reviews, and the submission of data to the Special Education Department and/or the Maryland State Department of Education (MSDE).
- Input student information into the Maryland Online IEP and IFSP program.
- Follow-up with parents regarding meetings.
- Make copies of the IEP and IFSP documents for review and use by staff and parents.
- Maintain early intervention and special education files in an orderly manner.
- Perform other duties as assigned by the program Supervisor.

Pursuant to Section 6-113.2 of the Education Article, Annotated Code of Maryland - House Bill 486 Child Sexual Abuse and Sexual Misconduct Prevention, all applicants are required to report all former employment where direct contact with minors may have occurred.
