Responsibilities
- Performs secretarial and administrative support services for assigned physicians/faculty/medical service line chiefs where the work requires a thorough knowledge of medical office procedures and UMMHC business and academic administrative practices. Interfaces with faculty; medical staff, patients, and various UMMHC administrative management and staff, which require considerable tact and diplomacy. May coordinate associated medical office activities and assigned staff.
- Coordinate medical office activities and staff as assigned, including training and scheduling, recommending processing improvements and implementing new procedures, and monitoring employee performance.
- Transcribe medical reports for physicians from dictation. Produce correspondence, reports, memos, etc., from dictation drafts, models, etc. Proofread/edits manuscripts, grant applications, academic and professional papers, and other material for grammar, spelling, format and style.
- Attend meetings as recording secretary. Distribute meeting agendas and minutes.
- Coordinate divisional residency, fellowship, clerkship, and/or graduate or undergraduate education programs as needed.
- Compose or select standard form letters for physicians' responses to routine inquiries and procedures, such as back-to-work authorizations.
- Arrange meetings and activities for faculty to maximize efficient use of time. Make travel arrangements for trips, conferences, etc.
- Schedule and coordinate patient visits and medical procedures for both inpatients and outpatients with admitting, the OR, testing centers, pre-admission, etc.
- Coordinate internal and external meetings.
- Greet visitors and/or patients. Assess needs and provide standard information. Foster quality customer service.
- Receive and address patient-care related phone calls. Provide routine information on procedures and standard policies; refer matters to the appropriate person within the department.
- Identify problem-related priorities and respond to emergency needs to interrupt or contact a physician and/or clinicians within physician guidelines.
- Issue and verify patients' managed care referrals.
- Register patients for each visit, utilizing computer-based patient registration/scheduling systems.
- Verify patient insurance coverage and eligibility.
- Escort patients to examination rooms and chaperone patients as required.
- Collect co-payments from patients for visits, maintain records, and make daily cash deposits.
- Perform on-site charge entry processes using computer-based systems.
- Batch daily encounter forms and relay/submit forms and information to the billing office.
- Process standard and non-standard business office administrative paperwork (e.g., purchase requisitions, employee time sheets, expense vouchers); follow up with personnel to expedite timely action and report delays as appropriate.
- Provide guidance to departmental personnel in medical office and UMMHC administrative policies and procedures.
- Provide work guidance to office clerical staff as needed.
- Set up and maintain confidential, sensitive files and records for multiple functions, academic materials, and medical records; coordinate retrieval of medical records.
- Ensure adequate inventory of office supplies and basic maintenance of office equipment.
- Coordinate basic setup and maintenance of office computers and equipment; ensure timely service.
- Participate in performance improvement initiatives and demonstrate the use of quality improvement in daily operations.
- Ensure compliance with health and safety requirements and with regulatory agencies such as DPH.

Position Qualifications
- License/Certification/Education:
Required: High School diploma; 6-12 months additional specialized medical secretarial/medical office training. - Experience/Skills:
Required: 2-3 years of medical secretarial/administrative support experience. - Software used: Word processing, spreadsheet, presentation graphics, database, Medi-Tech, IDX, Lynx, etc.
- Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed may be substituted for the above requirements.
Physical Demands and Environment
Work is considered sedentary. Position requires work indoors in a normal office environment.
