Overview
Position Overview: The Asian American Studies Program (AAS) at the University of Minnesota, Twin Cities (UMN-TC) invites applications for the position of Program & Outreach Coordinator (Job Code 8462MD Student Services Professional 2 Multidiscipline). This position supports the overall healthy and successful functioning of the AAS Program by developing, coordinating and implementing outreach, engagement, and communications programs and initiatives for AAS; by managing the Program's administrative, financial, and operational needs; and by coordinating the Program's curriculum, course scheduling, and instructional appointments. This is a 75%-time (30 hours per week), 12-month, continuous position subject to the University's Civil Service Employment Rules.
This AAS Program & Outreach Coordinator is primarily an in-person position on the Twin Cities Campus. The ability for some flexibility with this requirement and the specific work schedule may be determined with the supervisor once the individual is established in the role. Occasional attendance at events and programs outside of regular business hours is expected, subject to the needs of the program. The AAS Program is affiliated with the Institute for Global Studies (IGS) in the College of Liberal Arts (CLA), and reports to the faculty director of the Asian American Studies Program, currently Professor Kale Fajardo.
Established 20 years ago, the Asian American Studies Program at the UMN-TC is a leading AAS Program in the Midwest and in the US. The AAS Program & Outreach Coordinator plays a major staff role in the Program by administratively supporting the AAS Program Director; managing all Program communications (e.g. digital newsletter, website, and planned YouTube channel); designing and implementing student outreach plans and "student success and care" events; supporting the AAS faculty as they plan and implement campus-based, online, and public educational activities and community engagement events.
Responsibilities
Outreach, Engagement, & Communications (60%)
- Engage and partner (or collaborate) with staff in CLA and various University offices on the recruitment, retention, and academic success efforts and programming of diverse undergraduate students.
- Recruit undergraduate students to explore and enroll in AAS courses, as well as other AAS and RIDGS classes every semester and serving as a resource for interested students.
- Cultivate and maintain a network of connections with student organizations for the purposes of building collaborative programming and events, to increase the visibility of the Program, AAS courses, and other learning opportunities with student organizations and their members.
- Develop, coordinate, and maintain AAS communications activities (e.g., AAS website and social media presence, monthly e-newsletter, YouTube channel, etc.).
- Coordinate and co-host events and programs, in consultation with IGS events staff, including in-person and online lectures; faculty meetings, retreats, and gatherings; research/writing workshops; field-trips; teach-ins, symposia; student care events; student success workshops; and occasionally, large conferences; manage Zoom/AV technologies during in-person and online events; manage space, facilities, and hospitality needs.
- Provide logistical support (e.g., travel arrangements & hotel accommodations) for visiting faculty, other speakers, workshops, and/or field-trip leaders.
- Promote AAS events by making and distributing paper and digital flyers, advertising on CLA events pages, monthly e-newsletter, social media, and word of mouth.
- Coordinate student workers and volunteers at events hosted and co-hosted by AAS.
Program Administration and Financial Management (20%)
- Supports the Program and Director by serving as the key administrative and financial support staff for the Program.
- Provides administrative support for programs and projects supported by the AAS Program and corresponding financial, business, and technological needs.
- Establishes programming budgets with the Program Director; monitors expenditures; ensures timely and accurate processing of financial paperwork and the transfer of funds.
- Coordinates AAS scholarships and fellowships for students and research awards for faculty.
- Recruits, hires, and assigns tasks to student workers or volunteers as needed for the Program.
- Writes funding request letters and some internal and external grant applications.
- Maintains current knowledge of CLA and IGS policy, practice, personnel; coordinates AAS operational and administrative needs (finance, curriculum & course scheduling, purchasing & payments, events & program, human resources, facilities, etc.) with appropriate IGS staff.
Curriculum & Instruction (20%)
- Coordinates AAS curricular offerings by communicating and coordinating with other departments across the College of Liberal Arts (CLA) where AAS courses are cross-listed.
- Coordinates AAS curriculum & teaching assignments, class scheduling, and room assignments by working closely with IGS administrative staff; monitors and tracks AAS TA/UI budget.
- Advertises AAS classes by making and circulating digital/print flyers and postcards, and via the AAS monthly newsletter and social media venues, and by updating and maintaining the Program's website.
Qualifications
Required Qualifications
- B.A./B.S. degree plus at least two years of relevant experience, or a combination of education and relevant work experience to equal at least six years.
Preferred Qualifications
- B.A./B.S. degree in the Humanities, Social Sciences, and/or Arts with a focus in Asian American Studies—or an undergraduate Minor in Asian American Studies—or in an allied field or in another interdisciplinary field (e.g., Ethnic Studies or Gender, Women's and Sexuality Studies) plus at least two years of relevant experience or a combination of education and relevant work experience to equal at least six years.
- Demonstrated successful professional experience in a university or college setting—or at a non-profit organization—or in a community-based organization.
- Proven successful experience completing complex administrative tasks and activities similar to those described above.
- Demonstrated interests and participation in Asian/Asian American Studies, Asian/Asian American issues, other social movements, activism, media, and/or the arts.
- Demonstrated ability to work in a fast-paced work environment, both independently and with a team on multiple projects.
Pay and Benefits
Pay Range: $23.30 - $28.76 per hour; depending on education/qualifications/experience

While our salary ranges provide a framework, initial pay may not reach the maximum. Salary offered will be based on credentials and experience.
