Job Summary
Freres Engineered Wood is a dynamic forest products manufacturer that’s revolutionizing the mass timber market with its newly patented Mass Ply Panel (MPP) product. We are seeking an experienced Office Assistant to assist us in taking the Company to the next level. The Office Assistant reports to the Accounting Manager and will provide general administrative and office support across our team. This entry-level position is ideal for someone looking to build a foundation in office operations while being trained in more specialized finance-related tasks over time. Initially, the Office Assistant will focus on general office duties, and with training and development, is intended to develop skills and knowledge to become the Accounts Receivable (A/R), backup cash receipts and residuals in time.
Essential Functions
- Provide front desk reception, greet visitors, direct them to the appropriate department, and answer phone calls.
- Drafting, formatting, and typing memos and letters.
- Assist Fed-Ex, Mail and UPS deliveries and distribution of incoming/outgoing packages.
- Entering accurate data into spreadsheets and systems; answer the phone, assist customers, employees and applicants that visit corporate office.
- Organize and maintain filing systems and office storage areas to ensure easy access to documents.
- Translation Support (if bilingual): helping with document or in-person translation as needed.
- Maintaining cleanliness and supplies in kitchen and common areas while monitoring inventory levels.
- Assisting other departments and team members as needed.
Other Responsibilities
Responsibilities are not limited to the above-mentioned and may include assisting other departments within reasonable and related tasks. As training progresses, the Office Assistant may gradually take on more technical responsibilities, such as:
- Invoicing Support: Assisting with invoice generation and tracking
- Backup Deposits: Helping with or covering deposit processes when needed
- Residuals Entry: Supporting entry and tracking of residual payments
- LT Stat Entry: Entering statistical data into internal systems
Physical Demands
- Sitting for an extended period; occasional lifting. Standing or sitting for prolonged periods-of-time; walking, lifting, carrying. Balancing, stooping, reaching, handling, feeling, acuity (far/near), depth perception, and field of vision.
- Must be able to work in an office environment, while also being able to navigate each plant and/or department facilities.
- Ability to lift and/or move up to 20 pounds.
Skills and Qualifications
- High school diploma or equivalent required; some college coursework preferred
- Previous office experience a plus, but not required
- Bilingual in Spanish is a strong plus and preferred
- Positive and excellent interpersonal and customer service skills
- Ability to act with integrity, professionalism and confidentiality
- Excellent attention to detail and organizational skills
- Clear written and verbal communication skills
- Must have intermediate to advanced computer skills to work in Microsoft Office (Outlook, Word, Excel) and be capable of becoming proficient in our HRIS system and other systems/applications used for the position
- Willingness to learn and take on new responsibilities

- Ability to organize, plan and prioritize work to complete within required time frames
- Ability to perform multiple tasks simultaneously and meet deadlines
- Excellent verbal, written and in person communication skills, over the phone and via email
- This position requires in-person attendance; remote work is not an option.
