ARCHDIOCESE OF CHICAGO POSITION DESCRIPTION
Title: Office Assistant
Reports to: Office Manager
Schedule: Part-time. (8am-1pm M-F preferred)
Salary: $17/hour
Basic Functions:
The Parish Office Assistant serves as the welcoming face of the parish office, providing courteous and professional assistance to visitors, parishioners, and staff. The Office Assistant maintains confidentiality and creates a warm, welcoming environment that reflects the parish's mission and values.
Duties and Responsibilities:
- Answer and transfer phone calls, directing inquiries and assisting parishioners and other parish guests as needed.
- Record Mass intentions and print weekly list of intentions including Prayers of the Faithful.
- Accurately record parishioner donations in the parish database and update parishioner information as needed to ensure accuracy.
- Handle routine payments for Mass intentions, church celebrations, and donations.
- Maintain parish records by updating sacramental records and providing copies when requested.
- Coordinate with clergy to schedule baptisms, weddings, and funerals, ensuring all arrangements are properly organized and communicated.
- Assist with various administrative tasks, including distributing correspondence, copying, and scanning.
- Maintain availability and presence in the reception area.
- Understand and comply with all Virtus requirements.
- Assist with additional tasks and responsibilities as needed, including supporting other departments, contributing to event coordination, and handling various administrative duties to ensure smooth day-to-day operations.
The Archdiocese of Chicago offers a comprehensive total rewards package to include competitive compensation and benefit programs. This position is a non-benefits eligible part-time position. This position offers an hourly rate of $17/hr and is eligible for an annual increase based on cost of living or merit.
Requirements:
Education Preferred: High School graduate
Experience Required: Ability to communicate, good observational skills. Must be responsible, cordial, and punctual.
Skills Required: Sense of responsibility; knowledge of church sacraments, honest and trustworthy. Fluent in speaking and writing Spanish.
Skills Preferred: Good communication and phone skills, proven experience with Microsoft Word, Excel, and Teams.
Physical Activity: Lifting and carrying items.
Other Required: Must demonstrate understanding, respect, and support for Catholic Church teaching, mission, and values.
