Description

Cooper Tacia General Contracting is seeking a proactive and detail-oriented Part-Time Office Assistant to provide organizational and administrative support to Marketing, HR, and Accounting. This role is designed to keep operations running smoothly by handling day-to-day coordination, logistics, and recordkeeping tasks. The Office Assistant will support a wide range of activities, from onboarding new employees and managing office supplies to assisting with company events.

Responsibilities

  • Inventory Management & Organization
    • Maintain accurate records of marketing materials, merchandise/swag, and print assets.
    • Track usage and replenish stock as needed.
  • Ordering & Procurement
    • Place and manage orders for marketing materials, print collateral, merchandise, and promotional items.
    • Track shipments and ensure timely delivery.
  • Database Management
    • Update and maintain marketing and HR-related databases (contracts, vendor lists, distribution lists, etc.) across all Cooper Tacia entities.
    • Ensure accuracy and consistency of records.
  • Event Support
    • Support company events by assisting with logistics, vendor coordination, and on-site organization to ensure smooth execution.
    • Support event setup, coordination, and on-site needs.
  • Onboarding Assistance (Marketing + HR Support)
    • Add/remove employees from databases and distribution lists promptly.
    • Prepare new hire welcome boxes, schedule headshots, and organize name badges.
    • Introduce new employees to marketing processes (e.g., request submissions).
  • Office Operations Support
    • Oversee meeting room reservations and ensure proper setup (technology, Teams, displays).
    • Help maintain a welcoming and organized office environment, including restocking refreshments as needed.
    • Provide general administrative support as needed.
  • Accounting Support
    • Assist the Accounting team with routine administrative and recordkeeping tasks as assigned.

Requirements

  • 1–2 years of administrative, office support, or coordination experience (construction industry a plus).
  • Strong organizational skills with excellent attention to detail.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with databases a plus.
  • Ability to manage multiple priorities and work independently.
  • Clear written and verbal communication skills.
  • Professional, reliable, and adaptable.
  • High school diploma or equivalent required

20 – 22 an hour
