Family Dental Care of Owasso, a Heartland Dental Supported Practice, is looking for a Full-Time Experienced Business Office Assistant to join our team.

Supporting our front office as a Business Office Assistant, you’ll be surrounded by camaraderie and partnership - where patients come first, and continuous learning is encouraged. The successful candidate will bring a passion for helping our team provide the best patient care to the communities they serve.

  • Expected Full-Time Work Hours: Monday 9:00am-5:00pm, Tuesday 6:30am-4:00pm, Wednesday 6:30am-3:00pm, Thursday 6:30am-3:00pm and 2 Fridays per month

As part of our commitment to a safe and healthy environment, a tuberculosis (TB) test is required for all new hires in dental office positions. The test will be arranged during the pre-employment process and guidance will be provided. Not applicable in the states of Florida and Tennessee.

Role Details

  • Greet and welcome patients to create a positive first impression
  • Manage front office duties: answering phones, handling mail and email, communicating with patients and insurance companies
  • Utilize Dentrix for scheduling and records
  • Schedule and confirm appointments for multiple providers
  • File patient insurance claims and follow up on outstanding claims; verify benefits and coverage
  • Post insurance and patient payments; process accounts receivable
  • Review treatment plan fees and payment options with patients
  • Collaborate with providers and team to implement Heartland Dental systems

Minimum Qualifications

  • High School Diploma or GED
  • 2 years of experience in a dental practice
  • Knowledge of PHI handling with HIPAA training; protect PHI and maintain data safeguards
  • Experience in a fast-paced, customer-centric environment
  • Team player with excellent communication, organizational and multi-tasking skills
  • Ability to adapt to a changing work environment and meet deadlines
  • Proficient in Microsoft Office

Preferred Experience

  • 1+ year of experience in a dental or medical setting
  • 1+ year of experience with insurance billing and accounts receivable
  • Experience with Dentrix or other dental software

Physical Requirements

  • Ability to perform essential duties with or without reasonable accommodation
  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds
  • Occasional availability to attend virtual or in-person training sessions
