The major purpose of this position is to assist and support all social worker staff in the Child and Family Services Division to ensure compliance with data and service delivery at the state and county levels. This position is directly supervised by the Child & Family Services Division Administrative Services Assistant.
Responsibilities include:
- Keying of the 5027’s when a case is opened/closed and the 5104’s upon investigation completion.
- Entering all information in the county and state systems when an in-home or foster care file is opened or closed.
- Filing closed cases properly in the file room, maintaining organized files, and keeping logs of checked-out files.
- Completing semi-annual purging of CPS files, including boxing, labeling, coding in the system, and creating detailed retrieval lists.
- Obtaining Social Security cards for foster children and providing necessary documents such as court orders and medical records to the Social Security Administration.
- Providing backup to clerical team members, including case setup, file management, data logging, and assisting at the Hope Family Resource Center.
- Creating and maintaining spreadsheets and templates, managing supply and fax rooms, and distributing faxes.
- Offering clerical support to DSS attorneys and serving as a notary for social workers and attorneys.
- Transporting case files to and from the Havelock office twice weekly.
- Copying records for reviews, audits, and subpoenas.
- Participating in disaster relief efforts, including shelter duty, and performing other duties as assigned.
Minimum qualifications include graduation from high school and at least one year of office assistant/secretarial experience or equivalent training and experience.
Knowledge, Skills, and Abilities:
General office practices, accurate typing skills, attention to detail, good judgment in organization, multi-tasking, and effective time management.
Physical Requirements:
Involves record keeping, filing, and handling files, including lifting and transporting files above shoulder level.
