Job Summary
Coordinates payroll and administrative needs of Snow Sports departments. Departmental RTP administrator and Procard liaison. Snow Sports includes the Ski & Ride School, Freestyle Competition Team, and Kids Center. The administrative offices and instructor locker area are located on the second floor (slope level) of the Skier Services building, near the Base Lodge. The Snow Sports Sales Desk (part of the Guest Services & Info Center department) and the Kids Center are both located in the Base Lodge. The Coaches' office is in the upper village.

Job Relationships
Reports to: Snow Sports Director
Relationship: Works together with the Snow Sports Management team and Instructor group
Direct report: Admin assistant, covers basic functions on days off

Job Specifications
  • College degree preferred; high school education minimum requirement.
  • Must be an advocate of exceptional customer service.
  • Must be a self-starter and able to work independently with little supervision.
  • Must maintain a high level of discretion, as sensitive, confidential information is handled.
  • Strong organizational skills; ability to prioritize tasks and work with details.
  • Computer experience required, specifically word processing, spreadsheet, and database management (Microsoft Word, Excel); RTP experience preferred. Desktop publishing experience using graphics, photos, and formatting layout preferred.
  • Strong written and verbal communication skills required. Ability to develop effective working relationships with co-workers and supervisors; ability to deal courteously and tactfully with guests.
  • Ability to function effectively during times of high stress and high business demands, while dealing courteously and effectively with customers and staff.
  • Weekend and holiday rush period work required.
  • Familiarity with Whitefish Mountain Resort, Big Mountain, and the ski industry helpful. Ski and/or snowboard experience preferred.
  • Ability to work within the framework of standard policies and procedures.
  • Acceptable information regarding criminal history background (post-offer, pre-hire).
  • Must have an understanding of general accounting terminology and procedures, financial planning, and analysis practices.
Specific Duties
  • Function as an RTP departmental administrator, including but not limited to: overseeing programming and functionality of paid activities (lessons), scheduling activities, instructor pay types, and other profiles; problem solving with WMR IT and RTP; utilizing reporting to meet company needs; working with Accounting to integrate RTP payroll into the company accounting system.
  • Maintain and ensure accuracy of instructor payroll; supervise daily data entry and work closely with Accounting and payroll reports.
  • Assist in training staff members in Procard for purposes of scheduling, communication, and pay.
  • Function as a POS liaison between Snow Sports and the Guest Information & Services Department, ensuring accuracy of all RTP-related products and procedures.
  • Prepare daily, weekly, periodic, and seasonal labor, operational, and other reports as needed.
  • Emphasize customer service and satisfaction in all aspects of operation; deal promptly and effectively with customer problems or complaints.
  • Help maintain, with Marketing & IT, customer databases for communications and mailings.
  • Support all safety efforts, training, and programs to provide the safest environment for guests and staff.
  • Assist with the organization of paperwork for Snow Sports departments.
  • Be familiar with all Ski & Ride School, Teams, and Kids Center offerings and schedules.
  • Work closely with and maintain good working relationships with:
  • Snow Sports Director, supervisory staff, trainers, and ski & snowboard instructors to ensure effective and efficient communication, quality operations, and exceptional customer service.
  • SS Sales, Tickets, Kids Center, Rental & Retail, Food & Beverage, Central Reservations, and other departments as needed to coordinate effective, cooperative programs and packages.
Work Environment
  • Ability to lift items weighing 20 pounds occasionally.
  • Ability to climb stairs to access workspace and to bend, stoop, and stretch multiple times daily.
  • Ability to occasionally work under varying weather conditions, sometimes extreme in nature.
  • Requires work at a desk/computer workstation for medium periods of time (6-8 hours with breaks).
  • Job requires working weekends and holidays and overtime during peak demand times.
  • Non-smoking environment.
  • Subject to WSI's Alcohol and Controlled Substance Abuse Policy based on the nature of the position and related duties.

Safety & Wellness
All team members must be on constant alert for any unsafe conditions and work behaviors. This will involve, but not be limited to, periodic inspections of work and public areas. Follow-up notification will be done to correct the condition or practice at the earliest possible opportunity.
